13.1 Overview

Phone numbers are a central part of AIUNIFY Call Center.

A phone number may be used to:

  1. Place outbound calls
  2. Receive inbound calls
  3. Launch calling campaigns
  4. Send SMS messages
  5. Receive SMS responses
  6. Send MMS messages when supported
  7. Connect an AI voice agent
  8. Identify the business during customer communications
  9. Route calls through Twilio or a connected SIP trunk

AIUNIFY Call Center allows authorized customers to browse available phone numbers, review pricing, purchase numbers, monitor assigned numbers, and review number-request history.

Agents can view telephone numbers made available to them, but customer account owners and administrators control the acquisition and assignment of numbers.

13.2 Phone Number Access Requirements

Before a Customer can browse or purchase telephone numbers, the account must satisfy the platform’s access requirements.

The phone-number section requires:

  1. An active AIUNIFY Call Center account
  2. Customer or authorized account access
  3. Basic KYC approval
  4. Permission to view or request phone numbers
  5. A sufficient credit balance
  6. Available number inventory
  7. Proper telephone-provider configuration

If Basic KYC has not been completed, the user may be redirected to the KYC section instead of seeing the telephone-number pages.

Agents use a separate assigned-number page and do not follow the Customer number-purchase workflow.

13.3 Opening the Phone Number Section

To access the number-management area:

  1. Sign in to AIUNIFY Call Center.
  2. Open the main navigation menu.
  3. Locate the Phone Numbers, Numbers, or related communications section.
  4. Select the required page.

The available pages may include:

Available Numbers

Allows the Customer to browse and purchase telephone numbers.

My Phone Numbers

Displays numbers currently assigned to the Customer account.

My Requests

Displays the Customer’s telephone-number purchase or request history.

Agent My Numbers

Displays numbers available to an Agent for operational use.

The exact menu labels may vary according to the signed-in user’s role and the configured language.

13.4 Understanding Available Numbers

The Available Phone Numbers page displays numbers that can currently be acquired through AIUNIFY Call Center.

Each available number may display:

  1. Telephone number
  2. Friendly or formatted number
  3. Country
  4. Country code
  5. Area code
  6. Voice capability
  7. SMS capability
  8. MMS capability
  9. Monthly cost
  10. Purchase price
  11. Availability status

The inventory may contain numbers already synchronized into the AIUNIFY Call Center database or numbers made available through the connected Twilio account.

A number must have an Available status before it can be purchased.

13.5 Filtering Available Numbers

The filter controls help Customers locate numbers that meet their operational needs.

Available filters may include:

Country

Select the country where the telephone number should be located.

Only countries enabled in the platform’s telephone-provider geographical permissions may appear.

Area Code

Enter an area code to locate numbers associated with a specific city, state, province, or region.

Availability is not guaranteed for every area code.

Voice Capability

Use this filter when the number must support telephone calling.

SMS Capability

Use this filter when the number must support text messaging.

Any Capability

Use the Any option when the number may support any combination of Voice, SMS, or MMS.

To apply filters:

  1. Open Available Numbers.
  2. Select a country.
  3. Enter an area code when applicable.
  4. Select the required capabilities.
  5. Click Apply Filters.
  6. Review the matching numbers.

If no numbers appear, remove one or more filters and search again.

13.6 Understanding Phone Number Capabilities

Not every telephone number supports the same communication services.

Review each number’s capabilities before purchasing it.

Voice

A Voice-capable number can be used for telephone calls.

This may include:

  1. Outbound manual calls
  2. Campaign calls
  3. Inbound calls
  4. AI-agent calls
  5. Softphone calls

SMS

An SMS-capable number can send and receive standard text messages when SMS service is properly configured.

MMS

An MMS-capable number may support media messages, including eligible images or attachments.

MMS availability can vary by:

  1. Country
  2. Carrier
  3. Number type
  4. Provider configuration
  5. Recipient network

A number displaying Voice capability but not SMS capability should not be selected for an SMS campaign.

13.7 Understanding Country and Area Codes

The country code identifies the nation associated with the number.

Examples include:

  1. +1 for the United States and other North American Numbering Plan regions
  2. +44 for the United Kingdom
  3. +61 for Australia

The area code identifies a smaller geographic region within the country.

Businesses often select area codes based on:

  1. Customer location
  2. Sales territory
  3. Local market presence
  4. Campaign target
  5. Branch-office location
  6. Customer support region

A local area code can make a business appear more familiar to recipients, but it does not guarantee that a recipient will answer the call.

13.8 Reviewing Phone Number Pricing

Before purchasing a number, review the displayed pricing information.

The purchase confirmation may include:

  1. Phone number
  2. Country
  3. Area code
  4. Capabilities
  5. Customer charge
  6. Current credit balance
  7. Balance after purchase
  8. Monthly recurring cost

Phone-number charges are displayed in U.S. dollars or the platform’s equivalent credit value.

The displayed customer charge may differ from the provider’s underlying wholesale cost.

AIUNIFY Call Center calculates the applicable charge according to the active pricing configuration for the number’s country.

13.9 Checking the Credit Balance

The Customer must have sufficient credits before purchasing a number.

The system compares:

  1. The Customer’s available credit balance
  2. The charge required for the selected number

If the balance is too low, the purchase will not continue.

An error may indicate that the account needs a specific additional amount before the number can be acquired.

To resolve an insufficient-balance message:

  1. Open the Credit or Billing section.
  2. Review the current balance.
  3. Add sufficient credits through an available payment method.
  4. Return to Available Numbers.
  5. Confirm that the selected number is still available.
  6. Repeat the purchase.

Telephone-number availability can change while credits are being added.

13.10 Purchasing an Available Number

To purchase a number:

  1. Open Available Numbers.
  2. Use the filters to locate a suitable number.
  3. Review the number’s country and area code.
  4. Confirm that it supports the required capabilities.
  5. Review the displayed cost.
  6. Click the purchase or request button.
  7. Review the confirmation window.
  8. Verify the current balance and projected balance after purchase.
  9. Click Confirm Purchase.
  10. Wait for the purchase process to complete.

Do not close the browser or submit the purchase repeatedly while the request is processing.

13.11 What Happens During a Purchase

The current AIUNIFY Call Center workflow processes customer purchases immediately.

After Confirm Purchase is selected, the platform performs the following actions:

  1. Verifies that the number still has Available status.
  2. Checks whether the Customer already has an existing request for the number.
  3. Calculates the applicable customer charge.
  4. Confirms that the Customer has sufficient credits.
  5. Temporarily locks the number record to prevent another Customer from purchasing it at the same time.
  6. Marks the number as being processed.
  7. Purchases the number through Twilio when it has not already been purchased.
  8. Deducts the applicable credits from the Customer’s balance.
  9. Creates an approved number-request record.
  10. Assigns the number to the Customer account.
  11. Records the assignment date and monthly cost.
  12. Sends an approval notification when notification delivery is available.
  13. Makes the number available in My Phone Numbers.

This workflow is described in some areas of the interface as a number request, but the current Customer purchase process is automatically approved when every step completes successfully.

13.12 Purchase Protection

The platform uses several protections during telephone-number purchases.

Availability Verification

The number must still be Available when the purchase begins.

Duplicate Request Prevention

The same Customer cannot maintain another pending or approved request for the same number.

Record Locking

The system locks the number during the transaction to reduce the risk of two Customers purchasing the same number.

Credit Verification

The Customer’s balance is checked before the purchase proceeds.

Provider Confirmation

Credits are not intended to be deducted until the external provider purchase has succeeded.

Database Transaction

The purchase, credit deduction, request record, and assignment are processed together.

If a critical part of the operation fails, the system attempts to prevent a partial or inconsistent purchase.

13.13 Purchase Success

A successful purchase should produce a confirmation message.

The number should then appear under:

Phone Numbers → My Phone Numbers

The related request record may also appear under:

Phone Numbers → My Requests

The request status should display Approved because the current purchase workflow auto-approves completed purchases.

The Customer may also receive:

  1. An in-platform notification
  2. An email notification
  3. A transaction record
  4. A credit-balance update

The new number can be used after its provider configuration and required routing are active.

13.14 Purchase Failure

A purchase may fail for reasons including:

  1. The number is no longer available
  2. Another Customer purchased the number
  3. Insufficient credits
  4. Twilio purchase failure
  5. Missing telephone-provider configuration
  6. Country restrictions
  7. Disabled geographical permissions
  8. Database error
  9. Provider timeout
  10. Invalid number inventory
  11. Account authorization failure

If a purchase fails:

  1. Read the displayed error message.
  2. Do not repeatedly submit the same purchase.
  3. Confirm the credit balance.
  4. Refresh the available-number page.
  5. Verify that the number still appears.
  6. Select a different number when necessary.
  7. Contact the administrator if credits were deducted but the number does not appear under My Phone Numbers.

13.15 Opening My Phone Numbers

The My Phone Numbers page displays numbers currently assigned to the Customer account.

To open it:

  1. Sign in as the Customer.
  2. Open the Phone Numbers section.
  3. Select My Phone Numbers.

Only assigned numbers connected to the signed-in Customer should appear.

The system excludes unassigned, available, revoked, or unrelated customer numbers from this page.

13.16 Understanding the My Phone Numbers Page

The page may display summary information including:

  1. Number of assigned numbers
  2. Number of Voice-capable numbers
  3. Number of SMS-capable numbers
  4. Number of numbers connected to AI Agents
  5. Total monthly cost
  6. Average monthly cost

Each individual number may display:

  1. Formatted phone number
  2. Friendly name
  3. Country code
  4. Area code
  5. Source
  6. Capabilities
  7. Monthly cost
  8. Calling rate
  9. Assigned date
  10. AI Agent assignment

Use the Search field to locate a number by its telephone number or friendly name.

13.17 Phone Number Sources

An assigned number may come from one of two primary sources.

Twilio Direct

A Twilio Direct number is acquired and managed through the connected Twilio account.

The interface may identify these numbers with a direct-provider or lightning indicator.

SIP Trunk

A SIP Trunk number originates from a connected SIP carrier or external telephony system.

The interface may identify these numbers with a network or trunk indicator.

The number source affects how the number is configured, billed, routed, and maintained.

Do not assume that every number can be modified through the same settings page.

13.18 Reviewing Assigned Number Capabilities

Each assigned number displays the services it supports.

Possible capability labels include:

  1. Voice
  2. SMS
  3. MMS

Use the number according to its capabilities.

For example:

  1. Select a Voice-capable number for calling campaigns.
  2. Select an SMS-capable number for text-message campaigns.
  3. Select an MMS-capable number when sending supported media.
  4. Select a Voice-capable number when assigning an AI voice agent.

A number may support more than one capability.

13.19 Understanding Monthly Cost

The Monthly Cost represents the recurring amount associated with keeping the number assigned to the Customer.

The My Phone Numbers page may display:

  1. Current monthly cost
  2. Original monthly cost
  3. Discount percentage
  4. Total monthly cost for displayed numbers

Phone-number usage charges are separate from the monthly rental charge.

The account may therefore be charged for:

  1. Monthly number rental
  2. Outbound call minutes
  3. Inbound call minutes
  4. SMS messages
  5. MMS messages
  6. AI-agent usage
  7. Other enabled services

Review the Credit History or Transactions area for actual deductions.

13.20 Monthly Billing and Number Retention

Assigned telephone numbers are processed through a recurring monthly billing operation.

The system checks whether the Customer has sufficient credits for each assigned number.

When sufficient credits are available:

  1. The monthly number charge is deducted.
  2. A transaction is recorded.
  3. The number remains assigned.

When the balance is insufficient:

  1. The monthly charge cannot be completed.
  2. The failure is recorded.
  3. The system may revoke the number from the Customer.
  4. The number may no longer be available for calls, campaigns, SMS, or AI Agents.

Customers should maintain enough credits to cover all recurring number charges.

Do not wait until a campaign is scheduled to verify the credit balance.

13.21 Understanding the Calling Rate

The Calling Rate is the applicable per-minute customer charge associated with calls to or from a configured destination.

Calling rates may vary according to:

  1. Country
  2. Destination
  3. Call direction
  4. Number type
  5. Provider cost
  6. Active pricing rule
  7. Platform markup
  8. Currency

The number’s monthly rental cost is not the same as the calling rate.

A number can have both:

  1. A monthly recurring rental cost
  2. A per-minute calling charge

Use the Pricing Calculator when available to estimate expected calling expenses.

13.22 Assigned Dates

The Assigned Date shows when the number became connected to the Customer account.

This date may be useful for:

  1. Billing review
  2. Account audits
  3. Campaign planning
  4. Number-history tracking
  5. Investigating unexpected charges

If an assigned date appears incorrect, compare it with the related purchase transaction and number-request record.

13.23 AI Agent Assignments

A telephone number may be connected to an AI Agent.

When a number is associated with an AI Agent, the My Phone Numbers page may display:

  1. AI Agent name
  2. AI Agent type
  3. Inbound or outbound designation
  4. Active or inactive status

A number assigned to an AI Agent may be reserved for automated calling behavior.

The Customer softphone may exclude numbers currently assigned to AI Agents so that a human user does not unintentionally place manual calls from an automated-agent number.

The separate AI-agent number selector may display all eligible numbers when configuring the AI Agent.

13.24 Using Numbers in Campaigns

Assigned numbers may be selected when creating or editing campaigns.

Before launching a campaign:

  1. Confirm that the number is assigned to the correct Customer.
  2. Confirm that the number supports Voice for calling campaigns.
  3. Confirm that the number supports SMS for text campaigns.
  4. Confirm that the number is not revoked or inactive.
  5. Confirm that the account has sufficient credits.
  6. Confirm that the provider configuration is active.
  7. Confirm that geographical calling permissions allow the campaign destinations.
  8. Confirm that the number is not exclusively assigned to an incompatible AI Agent.

A number appearing in My Phone Numbers does not guarantee that every type of campaign can use it.

13.25 Using Numbers in the Softphone

The browser softphone uses eligible numbers assigned to the signed-in account.

A Customer or Agent may choose an available outbound caller number from the softphone number selector.

The available number list may exclude:

  1. Numbers assigned to AI Agents
  2. Numbers that do not support Voice
  3. Revoked numbers
  4. Unassigned numbers
  5. Numbers belonging to another Customer
  6. Numbers unavailable to the Agent

If the softphone shows no outbound number, review the assignment and capability settings.

13.26 Understanding My Requests

The My Requests page provides a history of Customer telephone-number requests and purchases.

A record may display:

  1. Telephone number
  2. Country
  3. Customer notes
  4. Request date
  5. Processed date
  6. Status
  7. Administrator notes
  8. Related pricing information

The current instant-purchase workflow normally creates an Approved request immediately after a successful purchase.

Older or manually reviewed records may display other statuses.

13.27 Number Request Statuses

Possible request statuses include:

Pending

The request is waiting for processing or administrator review.

Approved

The number request was approved and the number was assigned.

Rejected

The request was denied.

Administrator notes may explain why it was rejected.

Cancelled

The Customer withdrew the request before it was approved.

Because the current purchase workflow is automatically approved, Customers may see fewer Pending requests than in earlier or manually processed workflows.

13.28 Cancelling a Number Request

Only an eligible Pending request can be cancelled by the Customer.

To cancel a pending request:

  1. Open My Requests.
  2. Locate the Pending request.
  3. Click Cancel Request.
  4. Review the warning.
  5. Confirm the cancellation.

Cancelling a pending request:

  1. Changes the request status to Cancelled
  2. Returns the number to the available pool
  3. Cannot be undone
  4. Requires a new purchase request if the Customer changes their mind

An Approved request cannot be cancelled using the pending-request cancellation button.

The Customer must contact the administrator regarding an already assigned number.

13.29 Customer Notes

The purchase or request process may allow the Customer to include notes.

Notes can explain:

  1. Intended campaign use
  2. Required area code
  3. Required Voice capability
  4. Required SMS capability
  5. Business location
  6. Support requirements
  7. Special routing needs

Customer notes are primarily useful in manually reviewed request workflows.

They do not override:

  1. Number availability
  2. Pricing
  3. KYC requirements
  4. Credit requirements
  5. Country restrictions
  6. Provider limitations

13.30 Administrator Number Assignments

An administrator may assign a number directly to a Customer.

During direct assignment, the administrator may:

  1. Select the Customer
  2. Review the Customer’s credit balance
  3. Review the monthly cost
  4. Charge the applicable amount
  5. Skip credit deduction for an approved promotion
  6. Assign pricing
  7. Configure the number
  8. Revoke or release the number later

A directly assigned number should appear in the Customer’s My Phone Numbers page after assignment.

13.31 Administrator Number Requests

When the platform uses a manual-review workflow, administrators can access:

Admin → Number Requests

The administrator may:

  1. Review the Customer
  2. Review the requested number
  3. Review capabilities
  4. Review Customer notes
  5. Approve the request
  6. Reject the request
  7. Add administrator notes

Approving a manual request assigns the number to the Customer.

Rejecting a request should include a clear explanation.

The current Customer purchase process generally auto-approves successful purchases, but the administrative request-review tools remain available for compatible request records.

13.32 Number Revocation

Revocation removes a number from a Customer’s assigned inventory.

A number may be revoked because of:

  1. Insufficient credits
  2. Billing failure
  3. Policy violation
  4. Provider cancellation
  5. Administrator action
  6. Account suspension
  7. Fraud investigation
  8. KYC issue
  9. Telephone-provider migration
  10. Number configuration failure

After revocation, the number may stop appearing in:

  1. My Phone Numbers
  2. Campaign number selectors
  3. Softphone number selectors
  4. AI Agent configuration
  5. SMS sending options

Contact the administrator before assuming a revoked number can be restored.

13.33 Number Release

Releasing a number may permanently return it to the telephone provider.

Release is different from temporarily disabling or revoking a Customer assignment.

After a number is released:

  1. The business may lose control of it
  2. The provider may return it to public inventory
  3. Future reacquisition may not be possible
  4. Calls and messages to the number may stop working
  5. Campaigns using the number may require updates

Only administrators should release numbers after confirming that the number is no longer required.

13.34 Searching Assigned Numbers

The My Phone Numbers page includes a Search field.

To find a number:

  1. Open My Phone Numbers.
  2. Enter part of the telephone number or friendly name.
  3. Review the matching results.
  4. Clear the Search field to restore the full list.

The search applies to the numbers currently loaded or displayed by the page.

If the number is not found, review additional pages when pagination is present.

13.35 No Numbers Available

The Available Numbers page may display no inventory.

Possible causes include:

  1. No country was selected
  2. Filters are too restrictive
  3. The requested area code has no available inventory
  4. The administrator has not synchronized numbers
  5. Countries are disabled in geographical permissions
  6. Twilio is not configured
  7. Provider credentials are invalid
  8. The inventory database is empty
  9. The requested capability is unavailable
  10. The provider service is temporarily unavailable

Try the following:

  1. Select All Countries or another enabled country.
  2. Remove the area-code filter.
  3. Change capability filters to Any.
  4. Refresh the page.
  5. Contact the administrator.

13.36 No Assigned Numbers

If My Phone Numbers is empty, the account may not have acquired a number yet.

The page may direct the user to browse available numbers or contact an administrator.

Confirm that:

  1. Basic KYC is approved
  2. A purchase was completed
  3. The number has Assigned status
  4. The number belongs to the correct Customer
  5. The purchase transaction completed
  6. The number was not revoked
  7. The account has sufficient credits
  8. The correct account is signed in

Agents with no assigned numbers must contact the Customer account owner or administrator.

13.37 Number Does Not Appear in the Softphone

A number can appear in My Phone Numbers but not in the softphone.

Possible reasons include:

  1. The number lacks Voice capability
  2. The number is assigned to an AI Agent
  3. The number is inactive or revoked
  4. The Agent is not authorized to use it
  5. The number belongs to a different Customer
  6. The softphone has not refreshed
  7. The provider configuration is incomplete
  8. The number was acquired through an incompatible route

Sign out and sign back in after number-assignment changes.

Refresh the softphone and verify the number source.

13.38 SMS Does Not Work on an Assigned Number

Confirm that:

  1. The number displays SMS capability
  2. SMS service is configured
  3. The provider credentials are valid
  4. The number is active
  5. The destination is permitted
  6. The account has sufficient credits
  7. The message complies with carrier requirements
  8. The number has not been assigned only for Voice use

Voice capability does not automatically include SMS capability.

13.39 The Purchase Button Is Unavailable

The purchase button may be unavailable when:

  1. Basic KYC is incomplete
  2. The user lacks number-request permission
  3. The account is an Agent account
  4. The number is no longer Available
  5. The number was already requested
  6. The platform cannot calculate pricing
  7. The country is disabled
  8. The number inventory is stale
  9. The account is inactive or suspended

Review the displayed message and contact the administrator if the reason is not clear.

13.40 Credits Were Deducted but the Number Is Missing

This condition requires administrative review.

Do not attempt repeated purchases.

Record:

  1. Number selected
  2. Date and time
  3. Amount deducted
  4. Transaction reference
  5. Error message
  6. Customer email address

Then contact the administrator.

The administrator should compare:

  1. Credit transaction
  2. Number-request record
  3. Phone-number record
  4. Twilio purchase record
  5. Application error logs

A successful provider purchase should normally result in an assigned number and an approved request record.

13.41 Number Security and Compliance

Telephone numbers should be used responsibly.

Customers are responsible for complying with applicable laws and carrier rules involving:

  1. Telemarketing
  2. Consent
  3. Do-not-call requirements
  4. Call recording
  5. SMS opt-in
  6. SMS opt-out
  7. Caller identification
  8. Message content
  9. Emergency calling limitations
  10. Local and international calling regulations

Do not use a number to impersonate another person or organization.

Do not purchase numbers for fraudulent, misleading, abusive, or unlawful activity.

13.42 Recommended Number-Management Practices

Purchase numbers only for active business needs.

Select capabilities before purchasing.

Use local area codes when they support the campaign strategy.

Maintain sufficient credits for recurring charges.

Review monthly number costs regularly.

Remove unused campaign references before releasing a number.

Document which number is used for each campaign or department.

Avoid assigning the same number to incompatible workflows.

Review AI Agent assignments before using a number manually.

Confirm that Agents can access only authorized numbers.

Monitor Voice, SMS, and MMS usage separately.

Keep KYC and account information current.

13.43 Troubleshooting Checklist

When a phone number is not working, confirm the following:

  1. The number appears in My Phone Numbers.
  2. The number has Assigned status.
  3. The account has sufficient credits.
  4. The number supports the required capability.
  5. Twilio or the SIP trunk is connected.
  6. The number belongs to the correct Customer.
  7. The Agent has permission to use the number.
  8. The number is not assigned exclusively to an AI Agent.
  9. The destination country is permitted.
  10. The campaign or softphone selected the correct caller number.
  11. The account is Active.
  12. Basic KYC remains approved.
  13. The number has not been revoked or released.

13.44 Chapter Summary

AIUNIFY Call Center provides Customers with tools to browse, purchase, review, and use telephone numbers.

Basic KYC is required before Customers can access the number-purchase workflow.

Available numbers can be filtered by country, area code, Voice capability, and SMS capability.

The current purchase workflow immediately verifies availability, checks credits, purchases the number through Twilio, deducts the Customer charge, auto-approves the request, and assigns the number to the Customer account.

Assigned numbers appear in My Phone Numbers and may display their source, capabilities, monthly cost, calling rate, assignment date, and AI Agent connection.

Telephone numbers carry recurring monthly charges. If the Customer does not maintain sufficient credits, the system may revoke the number.

Customers should carefully review capabilities, pricing, credit balances, assignments, and compliance requirements before using a number for campaigns, softphone calls, SMS, MMS, or AI Agents.
