40.1 Overview

The Virtual Backgrounds and My NFC Cards features work together to help the account owner create branded card artwork and order a physical NFC-enabled business card connected to an active VCard.

The complete workflow is:

Complete the VCard
Create or prepare card artwork
Select an NFC Card Type
Choose the VCard destination
Enter cardholder and delivery information
Upload the business logo
Choose the quantity
Review price, tax, and total
Complete payment
Track production and delivery
Receive and test the NFC card

The physical NFC card is programmed with the selected VCard’s public URL. When someone taps the card with a compatible phone, the phone opens that digital card.

The customer menu displays Virtual Backgrounds and, when NFC Card Types have been created by the platform administrator, My NFC Cards. These menu items are available within the primary customer-account section rather than the organization-subuser section.

Understanding NFC Cards

40.2 What NFC Means

NFC stands for Near Field Communication.

An NFC card contains a small embedded chip that can transmit a programmed web destination to a compatible nearby phone.

The typical visitor experience is:

Tap NFC Card
Phone recognizes the chip
Browser notification appears
Visitor opens the notification
Public VCard opens

The visitor does not ordinarily need to install the Book application to open the public VCard.

40.3 What Is Programmed onto the NFC Card

The system’s customer instructions identify the selected VCard URL as the destination written to the NFC card.

The physical chip should therefore open:

The chip does not contain the complete VCard website. It contains the destination that opens the online VCard.

40.4 NFC Card Versus Printed Business Card

A conventional printed business card displays fixed information such as:

An NFC card can open an online VCard containing current interactive information.

The public VCard can include:

40.5 NFC Card Versus QR Code

An NFC card and QR code can lead to the same destination.

NFC

The visitor taps the card.

QR Code

The visitor scans the printed code using the phone’s camera.

Using both provides a fallback for:

  1. Phones without NFC
  2. Phones with NFC disabled
  3. Visitors who prefer scanning
  4. Damaged or incorrectly programmed NFC chips
  5. Devices that have difficulty detecting the card

40.6 NFC Card Versus Virtual Background

A Virtual Background is a downloadable image.

An NFC card is a physical product containing an NFC chip.

The Virtual Background can provide:

Logo
Name
Occupation

QR code

The NFC card separately requires its chip to be programmed with the selected VCard URL.

Creating Virtual Background artwork does not program an NFC chip.

40.7 NFC Card Versus VCF Contact File

An NFC card opens the public VCard website.

A VCF file imports contact details into a visitor’s Contacts application.

The visitor can:

  1. Tap the NFC card.
  2. Open the public VCard.
  3. Select Add to Contact.
  4. Download the VCF.
  5. Save the cardholder to their device.

These are separate steps.

Accessing Virtual Backgrounds and NFC Cards

40.8 Opening Virtual Backgrounds

To prepare branded artwork:

  1. Sign in to the primary customer account.
  2. Select Virtual Backgrounds.
  3. Choose a predefined design or open the Custom generator.
  4. Select the appropriate VCard.
  5. Create and download the artwork.

The customer routes provide separate operations for standard Virtual Backgrounds, Custom Virtual Backgrounds, VCard data retrieval, and card-image downloading.

40.9 Opening My NFC Cards

To browse and order a card:

  1. Sign in to the primary customer account.
  2. Locate My NFC Cards in the main menu.
  3. Select it.
  4. Wait for the available Card Types and existing orders to load.

The menu appears only when at least one NFC Card Type is available in the system.

40.10 My NFC Cards Menu Is Missing

Possible reasons include:

  1. No NFC Card Types have been published.
  2. The user is signed in through an organization subaccount.
  3. The page has not refreshed.
  4. The login session is outdated.
  5. The NFC ordering feature is not configured.
  6. The installation is incomplete.

Sign out and return through the primary account after the platform administrator confirms that NFC Card Types are available.

Preparing the VCard Before Ordering

40.11 Why the VCard Must Be Completed First

The selected VCard controls the destination programmed onto the NFC chip.

Its information can also populate the NFC ordering form.

Before ordering, review:

40.12 Confirming the Public VCard

Before placing the order:

  1. Open VCards.

  6. Test the URL while signed out.
  7. Review its name and contact information.
  8. Test it on a phone.

The NFC destination should be publicly accessible without requiring the visitor to sign in.

40.13 Selecting the Correct VCard Alias

The URL Alias forms part of the public destination.

Use a professional and long-term alias before ordering the NFC card.

40.14 Avoid Changing the Alias After Ordering

Changing the VCard content normally does not require reprogramming the NFC card when the public URL remains the same.

Changing the URL Alias can change the destination.

This can cause the physical card to open:

  1. An invalid address
  2. An error page
  3. An old redirect
  4. The wrong VCard

Finalize the alias before production.

40.15 Information That Can Be Updated Later

When the NFC card points to the same public VCard URL, the account owner can update online information such as:

The physical NFC chip does not normally need to be rewritten merely because the contents of the same VCard were edited.

The printed information on the physical card will remain unchanged.

Preparing Virtual Background Artwork

40.16 Purpose of Virtual Background Artwork

The Virtual Background generator creates card-style images suitable for digital use and for submission to a card-printing provider.

The Custom generator can produce:

These files can serve as design references or printable artwork.

40.17 Predefined Versus Custom Artwork

Predefined Virtual Background

Uses an existing system design.

Suitable for:

Custom Virtual Background

Uses uploaded Front Image, Back Image, and Logo.

Suitable for:

40.18 Choosing the Orientation

The Custom generator supports:

Horizontal:
500 × 300 pixels

Vertical:
300 × 500 pixels

Most traditional NFC business cards use a horizontal landscape design.

Confirm the printing provider’s required orientation and dimensions before final production.

40.19 Front Artwork

The Front artwork can contain:

Keep the important text and QR code away from the edges.

40.20 Back Artwork

The Back artwork generally contains:

40.21 QR Code Destination

The Custom Virtual Background QR code is generated from the Website field.

To connect it to the same VCard as the NFC chip, enter the complete public VCard URL in the Website field.

40.22 Built-In NFC Card Images Versus Custom Artwork

The My NFC Cards area displays Card Types created by the platform administrator.

Each Card Type can have:

The normal customer order form should not automatically be assumed to upload the complete front_canvas.png and back_canvas.png files.

The order workflow includes a customer Logo upload, while complete custom artwork may need to be sent separately according to the platform administrator’s production instructions.

Before paying for a custom-printed card, confirm whether:

  1. The selected Card Type uses a standard design.
  2. Only the uploaded Logo is customized.
  3. The Virtual Background files must be sent separately.
  4. The administrator accepts full front-and-back custom artwork.
  5. Additional design approval is required.

Browsing NFC Card Types

40.23 Understanding Card Types

An NFC Card Type is a physical card option made available for purchase.

Different Card Types may vary by:

  1. Material
  2. Color
  3. Front design
  4. Back design
  5. Finish
  6. Description
  7. Price
  8. Production method

The platform administrator creates and prices these Card Types and manages customer orders through dedicated NFC Card Type and NFC Card Order operations.

40.24 Viewing Card Details

To review a Card Type:

  1. Open My NFC Cards.
  2. Locate the desired card.
  3. Select its image or details action.
  4. Review the card name.
  5. Review its description.
  6. Review the Front Card Image.
  7. Review the Back Card Image.
  8. Review the price.
  9. Adjust the quantity where appropriate.

The details window displays the selected Card Type’s front and back images and recalculates the displayed price as the quantity changes.

40.25 Card Name

The Card Name identifies the product.

Examples may include:

Do not rely on the name alone. Review the description and both images.

40.26 Card Description

The description should explain important product information such as:

  1. Material
  2. Finish
  3. Color

Contact the platform administrator before ordering when the description does not answer a material question.

40.27 Front and Back Images

Review both card images.

Confirm that:

  3. Colors are acceptable.
  4. Any displayed branding is only an example.
  5. The image agrees with the Card Type description.

The image can be a product representation rather than an exact color-calibrated print proof.

40.28 Price Per NFC Card

The displayed price generally represents the price per selected NFC card.

The total can be based on:

Additional tax may be applied when NFC Card Tax is enabled.

Choosing the Quantity

40.29 Quantity Controls

The Card Details window includes controls for increasing or decreasing the quantity.

The minimum quantity presented by the customer interface is one.

The displayed price updates according to the selected quantity.

40.30 Verify the Quantity Before Ordering

Before opening the order form, confirm:

  1. Number of employees
  2. Number of replacement cards
  3. Number of locations
  4. Whether one card is being purchased for testing
  5. Whether each card needs a different VCard
  6. Whether the complete quantity uses one design

Do not order several cards for different employees under one VCard unless that is intentional.

40.31 One VCard Per Order

The order form selects one VCard destination.

When different cards must open different VCards, create separate orders unless the platform administrator has provided another process.

This reduces the risk that several employees receive cards programmed to the same person.

Opening the NFC Order Form

40.32 Starting the Order

After selecting the Card Type and quantity:

  1. Choose the order action.
  2. Wait for the NFC Order form to open.
  3. Confirm the selected Card Type.
  4. Select the VCard.
  5. Review the automatically populated information.
  6. Complete the delivery and customization fields.
  7. Select a payment method.
  8. Review the order total.
  9. Submit the order.

40.33 Card Type Selection

The order requires a selected NFC Card Type.

The Card Type can be selected by choosing its product image or Card Type option.

Do not continue until the correct card is visibly selected.

40.34 Selecting the VCard

In Select VCard:

  1. Open the selector.
  2. Search for the intended VCard.
  3. Select it.
  4. Wait for its data to load.
  5. review all populated fields.

The customer form retrieves VCard data through a dedicated VCard-data operation used by the NFC ordering workflow.

Automatically Populated Information

40.35 Name

The ordering form combines the selected VCard’s First Name and Last Name.

Example:

Review the name before submitting.

40.36 Email

The selected VCard’s Email can populate the order form.

Use an actively monitored address because it may be used for:

  1. Order notifications
  2. Payment information
  3. Production questions
  4. Shipping updates
  5. Status changes

40.37 Designation or Occupation

The VCard Occupation can populate the card’s Designation information.

In Enter Address, enter the address where the physical card should be delivered.

Uploading the Logo

40.45 Logo Is Required

The NFC ordering interface contains a required Logo field.

Upload the approved logo intended for card customization.

Do not upload:

  1. A screenshot of the logo
  2. An unrelated photograph
  3. A low-resolution social-media thumbnail
  4. A logo without authorization
  5. A file containing private information

40.46 Preparing the Logo

Use a logo that is:

A transparent PNG is often useful, but the printing provider may have specific requirements.

40.48 Virtual Background Logo Versus Order Logo

The logo embedded in a downloaded Virtual Background is part of that image.

The Logo field in the NFC order is a separate uploaded file.

Retain the original logo and upload that original where possible rather than extracting it from the completed Virtual Background image.

Reviewing Pricing

40.49 Price Calculation

The order can include:

Selecting a Payment Method

40.52 Payment Method

Choose one of the payment methods displayed in the order form.

The installed NFC workflow contains payment-return and success operations for multiple gateways, including Razorpay, Flutterwave, Mercado Pago, and Iyzico, together with other configured payment handling. Only methods that have been properly enabled should appear to the customer.

40.53 Online Payment

For an online gateway:

  1. Select the method.
  2. Submit the order.
  3. Wait for the payment page or popup.
  4. Verify the amount.
  5. Complete the payment.
  6. Do not close the browser during redirection.
  7. Wait for the system to return.
  8. Open My NFC Cards.
  9. Confirm the Payment Status.

40.54 Manual Payment

Where Manual Payment is available:

  1. Select Manual Payment.
  2. Submit the order.
  3. Follow the displayed payment instructions.
  4. Retain the payment evidence.
  5. Wait for administrative verification.
  6. Review the Payment Status.

A manually submitted order may initially remain Pending until the payment is verified.

40.55 Avoid Duplicate Payments

Do not submit the order repeatedly when the payment page is still loading.

Before trying again:

  1. Check My NFC Cards.
  2. Check the payment account.
  3. Check the confirmation email.
  4. Confirm whether an Order was already created.

40.56 Final Order Review

40.58 Order Confirmation

A successful submission can display:

The order should then appear in My NFC Cards.

A successful order submission does not necessarily mean:

  1. Payment has been confirmed.
  2. Printing has started.
  3. The card has been programmed.
  4. The card has shipped.
  5. The delivery address has been independently verified.

Review both Payment Status and Order Status.

The customer order area can organize information such as:

Card Type identifies which physical NFC product was ordered.

This is one of the most important values to verify.

A correctly printed card programmed to the wrong VCard is still an incorrect order.

40.62 Order Date

Order Date helps identify:

  1. The newest order
  2. A replacement order
  3. An older version
  4. A payment inquiry
  5. A production delay
  6. A duplicate order

40.63 Filtering Orders

Where filters are displayed, the customer or order-management interface can filter by:

Card Type
Order Status

Clear filters when an expected order does not appear.

Payment Status

40.64 Pending

Pending means payment has not yet been fully confirmed.

Possible reasons include:

  1. Manual payment awaiting review
  2. Incomplete checkout
  3. Delayed gateway response
  4. Failed return to the website
  5. Payment still processing

Do not assume production has started.

40.65 Paid

Paid means the system or administrator has recorded the order as paid.

Retain the payment receipt and verify that the Order Status begins progressing.

40.66 Failed

Failed means the payment attempt was unsuccessful.

Possible causes include:

  1. Declined payment
  2. Gateway error
  3. Authentication failure
  4. Unsupported currency
  5. Interrupted checkout
  6. Expired session

Confirm that no charge was completed before attempting another payment.

40.67 Cancelled Payment

A cancelled payment can result when the customer leaves or cancels the payment process.

The order may remain unfulfilled.

Review the payment account and dashboard before placing another order.

Order Status

40.68 Pending

Pending indicates that the order has been received but has not yet advanced to shipping preparation.

During this stage, the administrator may be:

  1. Verifying payment
  2. Reviewing the VCard
  3. Reviewing the Logo
  4. Confirming customization
  5. Preparing the card
  6. Writing the VCard URL to the NFC chip

40.69 Ready To Ship

Ready To Ship indicates that production or programming has been completed sufficiently for shipment preparation.

Verify that the delivery address remains correct.

40.70 Shipped

Shipped means the card has been dispatched.

Where tracking information is supplied separately, retain it until delivery.

40.71 Delivered

Delivered indicates that fulfillment has been marked complete.

After receiving the card, complete the NFC and print-quality testing described later in this chapter.

40.72 Cancelled

Cancelled indicates that the order will not continue through normal fulfillment.

A cancelled Order Status does not automatically prove that payment has been refunded.

Payment reversal and order cancellation are separate processes.

The system’s built-in NFC guidance describes an administrative process of:

The customer should not assume that the card is programmed immediately when payment is submitted.

40.79 Confirming Custom Artwork

When full Virtual Background artwork is being used:

  1. Confirm how it should be delivered.
  2. Send front_canvas.png and back_canvas.png.
  3. Clearly label Front and Back.
  4. Include the Order reference.
  5. Include the Card Type.
  6. Confirm the intended orientation.
  7. Request a proof where available.
  8. Approve the proof before production.

Do not send only the ZIP without explaining its contents.

40.80 Print Proof

Review the proof for:

  1. Name
  2. Designation
  3. Company
  4. Email

Receiving the NFC Card

40.82 Inspecting the Delivery

After delivery:

  1. Confirm the package is undamaged.
  2. Count the cards.
  3. Confirm the Card Type.
  4. Review the Front design.
  5. Review the Back design.
  6. Review printed contact details.
  7. Review the logo.
  8. Scan the QR code.
  9. Test the NFC chip.
  10. Confirm the correct VCard opens.

40.83 Testing with an iPhone

On a compatible iPhone:

  1. Unlock the phone.
  2. Hold the top portion of the phone near the NFC card.
  3. Wait briefly.
  4. Look for a notification.
  5. Select the notification.
  6. Confirm that the correct VCard opens.

Do not rapidly move the card across the phone.

Hold it steadily for a moment.

40.84 Testing with Android

On a compatible Android device:

  1. Confirm that NFC is enabled where required.
  2. Unlock the device.
  3. Hold the NFC card near the phone’s NFC detection area.
  4. Wait for the notification.
  5. Open it.
  6. Confirm the correct VCard.

The detection area can vary by manufacturer and device model.

40.85 Testing the QR Code

Use the phone camera to scan the printed QR code.

Confirm that it opens the same intended public VCard.

The NFC chip and QR code should normally lead to consistent destinations unless they were intentionally configured differently.

40.86 Testing Multiple Phones

Test with more than one device where possible:

This confirms that the card works for ordinary public visitors rather than only for the account owner.

Updating the Digital Information

40.87 Editing the VCard After Delivery

When the VCard URL remains unchanged:

  1. Open VCards.
  2. Edit the card.
  3. Update the required information.
  4. Save.
  5. Open the public URL.
  6. Tap the NFC card.
  7. Confirm that the updated page appears.

The physical printed text will not change.

40.88 Changing the VCard Status

Deactivating the VCard can cause the physical NFC card to stop opening the intended public experience.

Before deactivation:

  1. Review how many cards were distributed.
  2. Provide a replacement destination where appropriate.
  3. Notify cardholders.
  4. Update or replace physical cards if necessary.

40.89 Deleting the VCard

Do not delete a VCard connected to active physical NFC cards without a migration plan.

A deleted destination may make every distributed card ineffective.

Prefer:

  1. Updating the existing VCard
