39.1 Overview
The Virtual Backgrounds feature creates branded business-card images using information from an existing VCard.
Despite the feature’s name, its primary purpose is not to provide a live Zoom, Google Meet, or Microsoft Teams integration. The system generates visual business-card assets that can be:
- Shared as digital images
- Used as profile or cover images
- Supplied to an NFC-card printer
- Added to marketing materials
- Used as branded meeting-background artwork where appropriate
- Stored as front-and-back digital card files
The system supports two creation methods:
- Predefined Virtual Backgrounds, which use an existing background design supplied by the system.
- Custom Virtual Backgrounds, which let the user upload separate front and back images, add a logo, select a horizontal or vertical format, populate VCard details, preview the result, and download both sides together.
The source contains separate views for creating standard and custom Virtual Backgrounds and separate controller operations for displaying templates, generating cards, downloading cards, retrieving VCard information, and creating the embedded QR code.
Understanding Virtual Backgrounds
39.2 What the Feature Produces
The application describes Virtual Backgrounds as business-card images containing information such as:
Logo
Name
Address or location
Telephone number
The Custom generator expands this information to include:
First Name
Last Name
Email
Occupation
Location
Telephone
Website
Logo
Website QR code
The generated images can be used for both digital and print-related purposes.
39.3 Virtual Background Versus a Public VCard
A public VCard is an interactive webpage.
It can contain:
- Contact buttons
- Services
- Products
- Galleries
- Social links
- Appointments
- Payment Links
- Blogs
- Inquiries
- Other interactive sections
A Virtual Background is a static image.
A person viewing the downloaded image cannot select the displayed telephone number or email address unless the image is placed inside another clickable webpage or message.
The QR code on a Custom Virtual Background can provide an interactive path by directing the viewer to the Website entered in the generator.
39.4 Virtual Background Versus a VCF Contact File
A VCF contact file imports information into a telephone or computer’s Contacts application.
A Virtual Background:
- Does not automatically add a contact
- Does not create a telephone contact record
- Does not update itself when the VCard changes
- Does not contain the complete interactive VCard experience
- Is primarily a visual asset
A downloaded Virtual Background may include a QR code that leads to the online VCard, but the image and the contact file remain separate items.
39.5 Virtual Background Versus an NFC Card
The application specifically identifies Virtual Backgrounds as useful for designing NFC cards.
The downloaded front and back images can be provided to an NFC printing company as visual artwork. However, the images do not program the NFC chip.
An NFC card normally requires two separate components:
Printed artwork
The design printed on the physical card.
Programmed destination
The web address written to the NFC chip.
The Virtual Background generator creates the artwork. The NFC-card ordering or programming workflow controls the chip and its destination.
39.6 Virtual Background Versus a Video-Conference Background
The downloaded image may be uploaded to a meeting platform as a background where its dimensions and layout are suitable.
The system itself does not:
- Connect directly to Zoom
- Connect directly to Microsoft Teams
- Connect directly to Google Meet
- Automatically change a meeting background
- Synchronize the image with a meeting account
- Detect webcam placement
- Mirror the image for a video platform
Upload and test the downloaded image separately within the applicable meeting service.
Accessing Virtual Backgrounds
39.7 Opening the Feature
To open Virtual Backgrounds:
- Sign in to the customer dashboard.
- Locate Virtual Backgrounds in the main menu.
- Select it.
- Wait for the available background designs to load.
The customer menu links the feature to the virtual-backgrounds.index destination. The menu is displayed in the main account-owner context and is excluded when the signed-in user is operating as an organization subuser.
39.8 Main Account Access
When the Virtual Backgrounds menu is missing, confirm that the user is signed in as the primary account owner.
The installed customer menu condition does not display this item when the current account has an organization parent identifier.
An organization employee may therefore be able to manage an assigned VCard but still not see the Virtual Backgrounds menu.
The main account owner can generate the required artwork for the employee’s VCard where the appropriate VCard is available in the selector.
39.9 Feature Routes
The customer workflow includes dedicated routes for:

39.10 Virtual Backgrounds Menu Is Missing
Confirm that:
- The main customer account is being used.
- The user is not signed in as an organization subuser.
- The browser session is current.
- The page has been refreshed.
- The customer dashboard loaded completely.
- The feature’s application files are present.
- The administrator has not disabled the relevant module.
Sign out and sign back in after an account-access change.
Preparing the Source VCard
39.11 Why the VCard Should Be Completed First
Both the predefined and Custom generators retrieve information from an existing VCard.
A completed VCard reduces manual correction and prevents blank information from appearing in the generated image.
Before creating the Virtual Background, review:

The VCard editor contains fields for the VCard Name, Occupation, description, URL alias, and related identity information used throughout the system.
39.12 Selecting the Correct VCard
When several VCards exist, confirm:
- VCard Name
- Cardholder

- Public URL
- Telephone number
- Business identity
The Virtual Background selector identifies the source record, but it should not be assumed to verify that the selected VCard belongs to the intended campaign or cardholder.
39.13 Information Retrieved Automatically
After a VCard is selected, the generator requests the VCard’s information and fills the corresponding form fields.
The programmed mapping includes:
VCard first_name → First Name
VCard last_name → Last Name
VCard email → Email
VCard occupation → Occupation
VCard location → Location
VCard region_code → Telephone Region Code
VCard phone → Telephone Number
VCard website → Website
Review every populated field before downloading.
39.14 Missing VCard Information
A field can remain blank when:
- It is blank in the VCard.
- The wrong VCard was selected.
- The VCard contains incomplete information.
- The VCard information could not be retrieved.
- The browser request failed.
- The field contains unsupported data.
Return to the VCard editor to correct permanent information. For a one-time image, the generator’s editable fields can be corrected before the download where permitted.
39.15 Changes Do Not Update Existing Images
A downloaded image is static.
Changing the VCard later does not change:
- A previously downloaded image
- A previously printed NFC card
- An image already posted on social media
- A profile image already uploaded elsewhere
- A ZIP file stored on a computer
Generate a new Virtual Background after changing important contact information.
Understanding the Two Creation Methods
39.16 Predefined Backgrounds
Predefined backgrounds use artwork already available in the system.
This workflow is appropriate when the user needs:
- Faster generation
- A ready-made design
- Minimal layout work
- Consistent card styling
- A simple downloadable business-card image
The user selects a design, chooses a VCard, reviews the populated details, and submits the generator.
39.17 Custom Backgrounds
The Custom generator provides greater control.
It supports:
- Horizontal and vertical layouts
- Separate Front Image
- Separate Back Image
- Logo upload
- VCard data population
- Real-time canvas rendering
- Website-generated QR code
- Movable canvas content
- Front-and-back PNG export
- A combined ZIP download
Use Custom when approved brand artwork is already available or when the predefined designs do not match the required identity.
39.18 Opening the Custom Generator
To open Custom Virtual Backgrounds:
- Open Virtual Backgrounds.
- Select Custom or Add Custom.
- Wait for the Custom form and both design canvases to load.
- Choose the required orientation.
- Select the VCard.
- Upload the required artwork.
- Review the design.
- Download the completed ZIP file.
The system has a separate custom-virtual-backgrounds destination for this workflow.
Creating a Predefined Virtual Background
39.19 Reviewing Available Designs
The main Virtual Backgrounds page displays the available predefined designs.
Before choosing one, consider:
- Logo placement
- Text contrast
- Cardholder name length
- Occupation length
- Location length
- Telephone-number length
- Website length
- Brand colors
- Intended digital or print use
A design that works for a short personal name may not work as well for a long organization name.
39.20 Opening a Predefined Design
To open a design:
- Select Virtual Backgrounds.
- Review the available designs.
- Select the applicable design or its creation action.
- Confirm that the design’s form opens.
- Locate the VCard selector.
The standard creation route is tied to the selected background record, allowing the system to open the form for that particular design.
39.21 Selecting a VCard
In the Select VCard field:
- Open the list.
- Search for the intended VCard.
- Select it.
- Wait for the form to populate.
- Review all populated values.
Do not select Submit immediately after choosing the VCard. Confirm that the asynchronous VCard-data request has finished.

Confirm that the Region Code and Telephone Number form one valid number.

Use the public destination that should be associated with the generated card.

Do not use an administrator page, preview-only link, password-reset URL, or private internal system address.
39.28 Submitting the Standard Generator
After reviewing the information:
- Confirm the selected design.
- Confirm the selected VCard.
- Review every field.
- Select the generation or download button.
- Wait for the browser response.
- Save the downloaded file.
- Open the downloaded result.
- Confirm that the image was generated correctly.
The standard workflow submits through the selected background’s route and has a separate download operation.
39.29 Form Reset After Submission
The programmed standard-background behavior submits the form and then resets it shortly afterward.
The selected VCard is also cleared.
Therefore:
- Do not assume the information will remain on screen.
- Wait for the browser download.
- Check the browser’s Downloads folder.
- Do not select the submit button repeatedly.
- Re-select the VCard when another copy is needed.

- Rebuilds the canvas dimensions
- Restores the placeholder backgrounds
Select the final orientation before investing time in the layout.
39.36 Changing Orientation Safely
When orientation must be changed:
- Record any manually corrected text.
- Save copies of the source images.
- Change the Size.
- Re-select the VCard.
- Upload the Logo again.
- Upload the Front Image again.
- Upload the Back Image again.
- Reapply manual corrections.
- Review both canvases.
Selecting the VCard in Custom
39.37 Selecting the Source VCard
To load VCard information:
- Open the VCard selector.
- Search by VCard Name.
- Select the correct VCard.
- Wait for all fields to populate.
- Confirm that the front canvas updates.
The Custom page uses the same customer VCard-data route as the standard generator.

Reviewing and Editing Custom Fields
39.40 First Name
First Name is required.
Confirm:

- No unnecessary titles

Professional titles ordinarily belong in Occupation rather than First Name.
39.41 Last Name
Last Name is required.
When the card represents a company rather than an individual, the generator may still require both name fields. Use approved business-card naming conventions and verify how the combined value appears on the canvas.
39.42 Email
Email is required and must pass the generator’s email-format validation.
Use a normal format such as:

The generator does not determine whether the address is private, safe, or current. The account owner is responsible for reviewing it.
39.45 Telephone Number
Telephone Number is required.
The generator also uses the selected Region Code.
The download is prevented when the telephone-validation component is displaying an unresolved error.
Check the full number before continuing.
39.46 Website
Website is required.
The generator validates the Website using a web-address pattern.

Understanding the Website QR Code
39.47 Automatic QR-Code Generation
When a Website is present, the Custom generator sends that Website to the system’s QR-code route and places the returned QR code on the Front Canvas.
The QR code therefore represents the Website field, not automatically the selected VCard’s URL unless that VCard URL was entered as the Website.
The route for generating this artwork is part of the installed Virtual Background workflow.
39.48 Recommended QR Destination
For a digital business card, the best destination is often the public VCard URL.

39.49 QR Code Does Not Automatically Validate the Website
The generator creates visual QR artwork from the entered value.
It does not guarantee that the destination:
- Is publicly available
- Belongs to the business
- Uses a valid SSL certificate
- Remains online
- Opens the correct VCard
- Is safe for recipients
Scan the completed QR code before distributing the image.
39.50 Website Changes After QR Creation
The installed canvas behavior adds the QR code when it does not already exist. Editing the Website after the QR code has appeared may update the visible Website text without rebuilding the existing QR object.
To ensure the QR code reflects a corrected Website:
- Record the corrected Website.
- Reset or rebuild the Custom canvas.
- Re-select the VCard.
- Enter the corrected Website before finalizing.
- Confirm that the QR code is regenerated.
- Download the files.
- Scan the exported QR code.
Changing the orientation also rebuilds the canvases, but it clears the entire form.
Uploading the Logo
39.51 Logo Is Required
The Custom generator will not create the ZIP file without a Logo upload.
The logo is placed on the Back Canvas as a movable image object.
39.52 Maximum Logo Dimensions
The programmed upload check rejects a Logo when either dimension exceeds:
This means the uploaded Logo must be no wider than 150 pixels and no taller than 150 pixels.
A 150 × 100 image is acceptable under this dimension rule.
A 200 × 100 image is rejected because its width exceeds 150 pixels.
39.53 Preparing the Logo
Before uploading:
- Open the logo in an image editor.
- Crop unnecessary transparent space.
- Resize it to no more than 150 × 150 pixels.
- Preserve its proportions.
- Save a web-compatible image.
- Confirm that the logo remains readable.
- Upload the resized copy.
39.54 Avoid Stretching the Logo
Do not change the width and height independently merely to force the logo into a square.
This can make the logo:
- Distorted
- Too wide
- Too tall
- Difficult to recognize
- Inconsistent with brand standards
Maintain the original aspect ratio.
39.55 Logo Background
A transparent logo often works best when the Back Image contains an approved solid or textured background.
When the logo contains a solid rectangle, confirm that its background color agrees with the uploaded Back Image.

39.58 Front-Image Safe Areas
Avoid placing critical background content under the expected information areas.
Keep important artwork away from:
- Name area
- Occupation area
- QR-code area
- Bottom contact-information area
- Outer edges
Use the live canvas preview to evaluate the actual placement.
39.59 Front Image Scaling
The uploaded Front Image is used as the canvas background and scaled to the current canvas dimensions.
An image with a mismatched ratio can appear:
- Stretched
- Cropped
- Compressed
- Blurred
Prepare separate Horizontal and Vertical source images rather than reusing one design for both orientations.
Uploading the Back Image
39.60 Back Image Is Required
The Back Image becomes the Back Canvas background.
The uploaded Logo is placed on top of it.
The form will not create the download while the Back Image field is empty.
39.61 Back Image Preparation
The Back Image should:
- Match the selected orientation
- Support the Logo visually
- Provide adequate contrast
- Avoid excessive detail behind the Logo
- Use approved brand colors
- Avoid text that may become cropped
39.62 Back Image and Logo Contrast
When the Logo is dark, use a sufficiently light background.
When the Logo is light, use a sufficiently dark background.
A logo that disappears into the background may be present technically but unusable visually.
Arranging the Canvas
39.63 Front and Back Canvases
The Custom generator contains two editable design areas:
Front Canvas
Contains the background artwork, contact details, contact icons, Website, and QR code.
Back Canvas
Contains the Back Image and uploaded Logo.
39.64 Selecting Canvas Elements
Where the canvas permits selection, click or tap an object to reposition it.
Objects can include:
- Name

Use small, controlled movements.
39.65 Avoid Moving Objects Outside the Canvas
An object dragged beyond the visible canvas may become:
- Partially cut off
- Missing from the download

Leave a reasonable margin around the design.
39.66 Text Wrapping
Long text is placed inside defined text areas.
When text wraps poorly:
- Shorten Occupation.
- Use a shorter public location.
- Use a cleaner Website address.
- Confirm that the email is correct.
- Reposition the text where possible.
- Choose Horizontal when more width is needed.
39.67 QR-Code Position
Keep the QR code:
- Fully inside the canvas
- Away from the edge
- Free of overlapping objects
- Large enough to scan
- On a visually simple area
Do not place text or a logo over the QR code.
39.68 Logo Placement
The Logo is initially placed near the center of the Back Canvas.
Review:
- Horizontal alignment

- Background contrast
- Safe margins

- Whether the Logo has excessive blank space
39.69 Preview at Actual Size
A design can look acceptable when enlarged in a browser but unreadable at its downloaded dimensions.
After downloading:
- Open the PNG.
- View it at 100%.
- Zoom out to its expected display size.
- Test it on a phone.
- Test a printed proof where printing is intended.
Downloading the Custom Virtual Background
39.70 Final Validation
Before downloading, the generator checks:

39.72 Download Procedure
To download:
- Confirm the orientation.
- Confirm the correct VCard.
- Review all information.

- Confirm the Logo.
- Scan the previewed QR code where possible.
- Select Download or submit the Custom form.
- Wait for
custom_e_card.zip. - Save it to an approved folder.
- Extract the ZIP.
- Open both PNG files.
39.73 Form Reset After Download
After the ZIP is generated, the programmed interface resets:

Do not expect the Custom design to remain available after the download.
Confirm that the ZIP is safely stored before leaving the page.
39.74 No Saved Custom-Design Project
The inspected customer workflow creates the Custom design in the browser and downloads the resulting ZIP.
It does not expose a normal customer project library for:
- Reopening a Custom design
- Editing a previously downloaded design
- Renaming a saved project
- Duplicating a saved design
- Viewing version history
- Deleting a saved canvas project
Retain the source Logo, Front Image, Back Image, and final ZIP in an organized external folder.

39.79 Preparing Files for a Printer
Before sending the images to a printing provider:
- Ask for the provider’s required dimensions.
- Ask for bleed requirements.
- Ask for preferred file format.
- Ask for color-mode requirements.
- Confirm whether rounded-corner safe areas are required.
- Confirm whether the provider needs higher-resolution artwork.
- Send both Front and Back files.
- Clearly label which side is which.
- Supply the NFC destination separately.
- Request a proof.
39.80 Pixel Dimensions and Print Quality
The Custom generator exports at:
Horizontal: 500 × 300 pixels
Vertical: 300 × 500 pixels
These dimensions may be adequate for digital use and some card-printing workflows, but a professional printer may require a larger resolution.
Do not enlarge the PNG substantially without checking image quality.
A printing provider may need to recreate or upscale the artwork using the original source assets.
39.81 Bleed and Trim
The generator does not replace a printer’s production template.
Important content should not be placed directly against an edge because the printer may trim part of the image.
