32.1 Overview

The VCard Email Subscription feature allows visitors to submit an email address through a public VCard and become a subscriber associated with that specific card.

The subscription workflow includes:

Newsletter signup form
Newsletter popup
Configurable popup delay
Email validation
Successful-subscription confirmation
Per-VCard subscriber list

Each VCard has its own subscriber destination. The customer route opens the subscriber list for the selected VCard rather than combining every card into one universal list.

32.2 What a Subscriber Record Represents

A Subscriber is a visitor who entered an email address through a VCard’s newsletter-subscription function.

The record connects:

A subscriber should not automatically be treated as:

  1. A customer
  2. A completed sale
  3. A qualified sales lead

32.3 Subscribers Versus Contacts

The Subscriber list and Contact list have different purposes.

Subscriber

Usually created when a visitor submits an email address through the newsletter signup.

Contact

Created when a visitor shares contact details during the Add to Contact process.

A Contact record may contain:

A Subscriber record is centered on the submitted email address.

A person can appear in both lists when they complete both actions.

32.4 Subscribers Versus Inquiries

An Inquiry is created when a visitor completes the VCard inquiry form.

A newsletter subscription does not include an inquiry message and should not be managed as though the visitor requested a direct response.

32.5 VCard Subscribers Versus WhatsApp Store Subscribers

The system also has a separate subscriber list for each WhatsApp Store.

These should remain distinct:

A visitor who subscribes through a VCard should be reviewed through that VCard’s subscriber list.

A visitor who subscribes through a WhatsApp Store should be reviewed through the applicable store’s subscriber list.

Do not assume that subscribing in one location automatically adds the email address to the other.

Enabling the Newsletter Signup

32.6 Newsletter Popup Control

The VCard editor includes a News Letter popup control within Manage Section.

This setting controls whether the public VCard can display its newsletter-subscription popup.

The Manage Section screen stores this selection through the news_latter_popup setting. The control is selected by default when the VCard does not yet have saved section-management settings.

32.7 Enabling the Newsletter Popup

To enable it:

  1. Select VCards.
  2. Locate the desired VCard.
  3. Select Edit.
  4. Open Manage Section.
  5. Locate News Letter popup.
  6. Select the checkbox.
  7. Select Save.
  8. Open the public VCard in a private browser window.
  9. Wait for the configured delay.
  10. Confirm that the newsletter form appears.

Test the VCard while signed out so the public experience is accurately represented.

32.8 Disabling the Newsletter Popup

To hide the popup:

  1. Open the VCard editor.
  2. Select Manage Section.
  3. Clear News Letter popup.
  4. Select Save.
  5. Refresh the public VCard.
  6. Confirm that the popup no longer opens.

Disabling the popup does not delete previously collected subscribers.

It only changes whether the public signup presentation is displayed.

32.9 Popup Versus Embedded Signup Form

The exact signup presentation depends on the selected VCard template.

A template may present the subscription function as:

The News Letter popup control is specifically intended for the newsletter popup or modal behavior.

Always test the selected template instead of assuming every template displays the signup form in exactly the same position.

Newsletter Popup Timing

32.10 Subscription Modal Delay

The account can use a newsletter modal timing setting identified as:

Newsletter Modal will open in X seconds after page load

The system uses this value to determine how long the visitor remains on the VCard before the subscription popup opens.

When no timing value is available, the programmed fallback is approximately five seconds.

32.11 Choosing an Appropriate Delay

A very short delay can interrupt the visitor before they understand the VCard.

A very long delay may prevent the popup from appearing before the visitor leaves.

A practical starting range is:

5 to 10 seconds

The most appropriate delay depends on:

  1. Length of the VCard
  2. Typical visitor behavior
  3. Template design
  4. Page-loading speed
  5. Mobile experience
  6. Importance of newsletter growth
  7. Whether another popup is already used

Do not configure several intrusive prompts to appear at the same time.

32.12 Changing the Popup Delay

The delay is connected to the card owner’s user settings rather than being stored separately within each VCard’s Manage Section.

To review it:

  1. Open Settings or User Settings.
  2. Locate the newsletter subscription timing option.
  3. Enter the desired number of seconds.
  4. Save the settings.
  5. Open a public VCard in a private browser window.
  6. measure how long it takes for the popup to appear.
  7. Adjust the setting when necessary.

Because this is associated with the VCard owner’s settings, the selected timing may affect multiple VCards belonging to the same account.

32.13 Testing the Delay Correctly

Browser storage can affect repeated popup testing.

Use this process:

  1. Open a private or incognito browser window.
  2. Load the public VCard.
  3. Do not interact with the page immediately.
  4. Count the seconds until the popup appears.
  5. Close the private window.
  6. Open a new private session for the next test.

Refreshing the same normal browser tab may not always reproduce a first-time visitor experience.

Public Subscription Experience

32.14 Newsletter Message

Depending on the template, the visitor may see wording such as:

The signup language should accurately describe what the visitor will receive.

Avoid using a broad promise when the organization sends only a narrow type of communication.

32.15 Email Address

The public subscription form is centered on the visitor’s email address.

The visitor should use an address they can access and intend to use for the stated updates.

32.16 Submitting the Subscription

The visitor generally completes the process by:

  1. Opening the public VCard.
  2. Waiting for or locating the newsletter form.
  3. Entering an email address.
  4. Selecting Subscribe.
  5. Waiting for the confirmation.

The programmed interface includes a successful result stating:

Newsletter has been Subscribed Successfully.

The subscription is then associated with the VCard through which it was submitted.

32.17 Successful Message Versus Email Confirmation

A successful on-screen message confirms that the form was accepted by the application.

It does not necessarily mean that:

  1. A welcome email was delivered
  2. The address was independently verified
  3. The mailbox exists
  4. The address belongs to the person who submitted it
  5. The person completed a double-opt-in confirmation
  6. Future messages will avoid spam filtering

The subscriber list should still be reviewed, and email delivery should be managed through an approved email system.

32.18 Closing the Popup

The visitor may close the subscription popup without subscribing.

Closing it should not be treated as:

  1. An unsubscribe request
  2. A rejection of all communication
  3. A completed subscription
  4. A customer-service inquiry
  5. A permanent decision

It only means the visitor closed the displayed prompt during that session.

Testing the Signup Process

32.19 Conducting a Controlled Test

Before distributing the VCard:

  1. Create a dedicated test email address.
  2. Open the public VCard in a private browser.
  3. Wait for the popup.
  4. Confirm that the wording is accurate.
  5. Enter the test email.
  6. Select Subscribe.
  7. Confirm the success message.
  8. Sign in to the customer dashboard.
  9. Open the selected VCard’s subscriber list.
  10. Confirm that the address appears.
  11. Repeat the test on a phone.
  12. Remove or document the test record according to the organization’s process.

Do not use an actual customer’s email for testing without permission.

32.20 Mobile Testing

On a phone, confirm that:

  1. The popup fits within the screen.
  2. The close control is visible.
  3. The keyboard does not cover the Subscribe button.
  4. The Email field accepts normal input.
  5. The page can still scroll where necessary.
  6. The success message is readable.
  7. The popup does not prevent access to important VCard content.
  8. The delay feels reasonable.

Test both portrait and landscape views where appropriate.

32.21 Desktop Testing

On a computer, confirm that:

  1. The popup is centered correctly.
  2. The background and text have sufficient contrast.
  3. The Email field is visible.
  4. The Subscribe button works.
  5. The close action works.
  6. The form does not appear underneath another modal.
  7. Custom CSS does not hide required controls.

Opening the Subscriber List

32.22 Accessing Subscribers from the VCards List

Each VCard has a Subscribers action represented by a users icon.

To open it:

  1. Select VCards.
  2. Locate the desired card.
  3. Select the users or Subscribers icon.
  4. Wait for the subscription page to load.

The action opens the subscriber destination for that specific VCard. The VCard management interface includes the Subscribers action separately from Analytics, Contacts, Edit, and the additional action menu.

  5. Review whether the same subscriber appears under multiple cards.

A person may intentionally subscribe through more than one VCard.

32.26 Understanding Subscriber Information

The primary captured information is the submitted Email address and its association with the VCard.

Depending on the current list presentation, the screen may also show record or timing information.

Do not assume that the subscriber record contains:

unless those details were collected separately through another authorized process.

32.27 No Automatic Subscriber Profile

A subscriber email does not automatically create a complete customer profile.

When additional information is required, it should be collected through an appropriate process such as:

  5. Purchase process
  6. Direct authorized conversation

Do not infer personal details from the email address.

Using Subscriber Records

32.28 Subscriber List Versus Email Marketing Platform

The VCard subscriber screen is primarily a captured-email list.

It should not be treated as a complete email marketing system.

Do not assume that it provides full functions such as:

Campaign designer
Automated email sequence
Audience tags
Segments
Lead scoring
Open tracking
Click tracking
Bounce management
Suppression lists
A/B testing
Scheduled broadcasts

Use the organization’s approved email marketing system when those capabilities are required.

32.29 Sending Email to Subscribers

Before sending an email:

  4. Use an approved mailing system.

Do not paste a large group of subscriber addresses into the visible To or CC fields of an ordinary email.

32.30 Using BCC Is Not a Complete Marketing System

BCC can hide addresses from other recipients, but it does not provide proper:

  3. Complaint handling
  4. Delivery reporting

Use an approved bulk-email platform for newsletters and recurring updates.

The organization should still ensure that:

  2. The sender identity is visible.
  3. The expected content is explained.
  4. The signup is not misleading.
  5. The visitor can unsubscribe.
  6. The email is used only for an appropriate purpose.

32.34 Keep Messages Within the Stated Purpose

Suppose the signup says:

Sign up to receive business technology updates.

Appropriate messages may include:

  1. Business technology information
  2. Relevant product updates
  3. Related educational content
  4. Announcements connected to the stated sender

Unrelated use may include:

  1. Selling the address to another organization
  2. Sending unrelated political messages

The actual message program should remain consistent with what the visitor was told.

32.35 Newsletter Signup Is Not Permission for Every Channel

An email subscription does not automatically authorize communication through:

SMS
WhatsApp
Direct mail
Social messaging
Third-party advertising

Obtain separate permission where required.

32.36 Avoid Pre-Entered Third-Party Addresses

Do not subscribe another person merely because their email is known.

Examples of inappropriate additions include:

  1. Entering a customer’s address without asking
  2. Adding a business card contact automatically
  3. Importing an purchased list
  4. Submitting employee addresses as a test
  5. Adding inquiry senders without permission
  6. Adding appointment customers automatically

Use a clear and authorized consent process.

32.37 Double Opt-In

The inspected VCard subscription workflow confirms the form submission, but a separate subscriber-confirmation step should not be assumed unless it has been specifically configured and tested.

A double-opt-in process normally requires:

  1. Visitor submits an email.
  2. A confirmation email is sent.
  3. Visitor selects a confirmation link.
  4. The address becomes an active subscriber.

When double opt-in is required, manage it through the approved email platform.

Unsubscribe Management

32.38 Provide an Unsubscribe Method

Every newsletter or recurring marketing email should contain a clear method for the recipient to stop future messages.

This may be:

Unsubscribe link
Email preference center
Reply with an unsubscribe request
Approved support process

An automated unsubscribe link is generally preferable for recurring campaigns.

32.39 The VCard List Is Not a Suppression System

Do not assume that removing an email from a visible working list is enough to prevent future contact.

32.41 Subscription Through Several VCards

A person may have subscribed through multiple VCards.

When they unsubscribe, determine whether the request applies to:

All organization marketing

Honor the actual scope of the request.

When the request says “stop all marketing emails,” review every applicable list.

Privacy and Data Protection

32.42 Privacy Policy

The VCard Privacy Policy should explain the newsletter process accurately.

32.56 Deactivating the VCard

When a VCard is deactivated, public signup access may stop with the public card.

32.57 Changing the VCard Identity

After duplicating a card:

  2. Review its Name and public identity.
  3. Review its Privacy Policy.
  4. Review the newsletter wording.
  5. Review News Letter popup visibility.
  6. Review popup timing.
  7. Open the duplicate’s public URL.
  8. Submit an authorized test email.
  9. Open the duplicate’s Subscriber list.
  10. Confirm that the record is associated with the duplicate.

32.59 Existing Subscribers and Duplication

Do not assume that the original VCard’s subscribers belong to the duplicate.

Subscriber records are associated with their source VCard.

Review the original and duplicate subscriber lists independently.

32.60 Duplication Risks

A duplicated VCard may retain:

Original newsletter wording
Original Privacy Policy
Original sender identity
Original branding
Original popup setting

Update these items before distributing the duplicate.

Troubleshooting

32.61 Newsletter Popup Does Not Appear

Confirm that:

  1. News Letter popup is enabled in Manage Section.
  2. Manage Section was saved.
  3. The VCard is active.
  4. The correct public URL is open.
  5. The popup delay has elapsed.
  6. The selected template supports the presentation.
  7. The test is being performed in a private browser.
  8. The browser is not retaining an old popup state.
  9. Custom CSS or JavaScript is not hiding the modal.
  10. Another popup is not covering it.

32.62 Popup Appears Too Soon

Review the newsletter modal timing setting.

Increase the number of seconds, save, and retest in a new private browser session.

Also verify that the saved value is being interpreted in seconds rather than milliseconds.

32.63 Popup Appears Too Late

Confirm that:

  1. The delay value is not unusually high.
  2. The page loaded completely.
  3. The browser did not pause scripts.
  4. The visitor remained on the same VCard.
  5. Custom JavaScript is not delaying the modal.
  6. The internet connection is stable.

Reset the timing to a moderate value and test again.

32.64 Popup Reappears During Testing

This can occur when:

  1. A new private session is opened.
  2. Browser storage was cleared.
  3. Cookies were removed.
  4. Another device is used.
  5. The template does not retain the same dismissal state.
  6. Custom code changes the popup behavior.

Repeated appearance during isolated testing does not necessarily mean every normal visitor will see it repeatedly in one session.

32.65 Email Form Will Not Submit

Confirm that:

  1. A complete email address was entered.
  2. The address contains no spaces.
  3. The VCard still exists.
  4. The public page is active.
  5. The browser session is valid.
  6. The internet connection is working.
  7. Required scripts loaded.
  8. The Subscribe button is not covered by the mobile keyboard.
  9. Custom JavaScript is not producing an error.

32.66 Invalid Email Error

Review the email for:

  1. Missing @
  2. Missing domain
  3. Spaces
  4. Multiple @ symbols
  5. Typographical errors
  6. Unsupported characters
  7. Accidental punctuation

Correct the address and submit again.

32.67 Success Message Appears but Subscriber Is Missing

Confirm that:

  1. The correct VCard’s Subscriber list is open.
  2. The page was refreshed.
  3. The email was submitted through that VCard.
  4. Another similarly named VCard was not used.
  5. The public URL did not point to a duplicate.
  6. The list is not filtered.
  7. The browser did not show an old success message.

Repeat the test with a unique authorized test address.

32.68 Subscriber Appears Under the Wrong VCard

Review:

  1. Public URL used
  2. VCard URL Alias
  3. QR code destination
  4. Shared link
  5. Custom domain
  6. Duplicated cards
  7. Marketing materials

Replace incorrect links and QR codes.

32.69 Subscriber List Is Empty

Possible reasons include:

  1. No visitors subscribed.
  2. News Letter popup is disabled.
  3. The selected template does not display the form as expected.
  4. Visitors closed the popup.
  5. The wrong VCard was opened.
  6. The VCard has not been distributed.
  7. The public form is failing.
  8. Tests were performed on another card.

Complete a controlled public test.

32.70 Same Email Appears More Than Once

Review whether the submissions came from:

  1. The same VCard
  2. Several VCards
  3. Several devices
  4. Separate legitimate subscription attempts
  5. Different email capitalization
  6. Addresses containing extra spaces

Deduplicate only when the source and permission records will remain clear.

32.71 Subscriber Says They Never Signed Up

Take the complaint seriously.
