31.1 Overview
The VCard contact system allows visitors to save the cardholder’s professional information directly to a phone, tablet, computer, or contact-management application.
The contact workflow includes several separate functions:
Public Contact section
Add to Contact button
Downloadable VCF contact file
Optional visitor-details request
VCard Contact List
PDF contact export
Excel contact export
These functions work together, but they should not be confused with one another.
31.2 Understanding the Three Contact Functions
Public Contact Section
Displays the cardholder’s telephone, email, location, and related contact information on the VCard.
Add to Contact
Allows a visitor to download the cardholder’s information as a .vcf contact file.
VCard Contacts List
Stores details shared by visitors before downloading the cardholder’s contact when the account’s contact-request setting is enabled.
The Contacts List does not contain the cardholder’s own contact information. It contains visitor details associated with the selected VCard.
31.3 Contacts Versus Inquiries
Contacts and Inquiries are separate records.
Contact Record
Created when a visitor shares their contact details as part of the Add to Contact download process.
Inquiry
Created when a visitor sends a message through the Inquiry form.
A Contact record may contain:
Name
Email
Telephone Number
VCard association
An Inquiry may additionally contain:
Message
Optional image attachment
A person may appear in both areas when they download the contact and later submit an inquiry.
31.4 Contacts Versus Subscribers
Contacts are also different from email Subscribers.
Contact
A visitor who shared details before downloading the VCard contact file.
Subscriber
A visitor who submitted an email address through the newsletter-subscription feature.
Sharing contact information does not automatically provide permission to add the person to a marketing mailing list.
Configuring the Cardholder’s Contact Information
31.5 Information Used in the Downloaded Contact
The downloadable VCF contact is built from information saved throughout the selected VCard.
The programmed VCF process can include:
First Name
Last Name
Company
Job Title

The system generates the contact file directly from the VCard’s current saved information.
31.6 Opening Basic Details 2
To review the principal information used in the downloaded contact:
- Select VCards.
- Locate the card.
- Select Edit.
- Open Basic Details.
- Select Basic Details 2.
- Review all contact-related fields.
Basic Details 2 contains the cardholder’s First Name, Last Name, Email, Telephone Number, alternate contact information, Company, Job Title, and other identity fields.
31.7 First Name and Last Name
The VCF file uses the saved:
to create the person’s contact name.

Avoid entering the complete name in only one field unless that format is intentionally required.
31.8 Company
The Company field can be included in the downloaded contact.

Do not enter an internal department code that visitors will not understand.
31.9 Job Title
The Job Title field helps identify the cardholder’s role.

The Job Title included in the VCF comes from the dedicated Job Title field rather than the general Occupation or VCard Description.
31.10 Primary Email
The primary Email can be added to the downloaded contact when it contains a value.
Before distributing the VCard, confirm that:
- The address exists.
- The spelling is correct.
- The mailbox is monitored.
- The address belongs to the intended cardholder or department.
- The address is approved for public use.
31.11 Alternate Email
The VCF can also include the VCard’s Alternate Email.
Example:

Use the alternate address only when visitors have a valid reason to use both.
Avoid adding an inactive or private address.
31.12 Primary Telephone Number
The VCF combines the saved region code and telephone number.

An Alternate Telephone Number can also be included.
Suitable uses include:

- Main department and direct line

Do not include a private employee number without approval.
31.14 Location
The saved Location can be added as the contact’s address.

Use a business location intended for public distribution.
Do not place a private home address in a public VCard unless the cardholder has intentionally approved it.
31.15 Location URL
The downloadable contact can contain the saved Location URL as a separate URL labeled for the location.
A suitable Location URL may open:
- A public map
- Business listing
- Office directions
- Event venue
- School location
- Store location
Test the URL before publication.
31.16 Profile Image
When a VCard Profile Image exists, the system attempts to include it in the generated contact.
The imported image can appear as the contact photograph on supported devices.
Use a clear and approved image because contact applications may crop it into:
- A circle
- A square
- A small thumbnail
Social Links in the Downloaded Contact
31.17 Standard Social Links
The VCF generator can include the standard Social Links saved for the VCard.
These may include:

Use meaningful icon filenames before uploading custom social icons.
31.19 Public VCard URL
The VCF also includes the card’s public web destination.
This gives the visitor a way to reopen the current digital VCard from the saved contact.
The saved public VCard can contain updated information even when some fields in the phone’s imported contact later become outdated.
31.20 Information Not Automatically Included
Do not assume that the VCF contains every VCard section.
The generated contact does not ordinarily include complete:

Displaying Add to Contact
31.21 Opening Basic Details 3
The public Add to Contact function is controlled from Basic Details 3.
To open it:
- Select VCards.
- Edit the desired card.
- Open Basic Details.
- Select Basic Details 3.
- Locate Display Add To Contact.
The setting is stored through the VCard’s enable_contact control.
31.22 Enabling Display Add To Contact
To allow visitors to download the contact:
- Turn on Display Add To Contact.
- Select Save.
- Open the public VCard.
- Locate the Add to Contact action.
- Test the download on a phone.
- Test it on a computer.
Depending on the selected template, the action may appear as:

31.23 Disabling Display Add To Contact
To remove the public download action:
- Open Basic Details 3.

- Existing visitor contact records
- Previous exports
- VCF files previously downloaded by visitors
Contact Section Versus Add to Contact
31.24 Contact in Manage Section
The Manage Section screen contains a separate Contact checkbox.
That checkbox controls the public Contact-information section.
It is different from Display Add To Contact.

31.25 Recommended Configuration
A standard public professional card may use:

31.26 Contact Section Enabled but Download Missing
When telephone and email information appear but Add to Contact does not:
- Open Basic Details 3.
- Confirm Display Add To Contact is enabled.
- Save.
- Refresh the public card.
- Test another template if necessary.
- Test in a private browser window.
Changing the Manage Section Contact checkbox alone does not enable downloading.
31.27 Download Enabled but Contact Section Hidden
A template may still display an Add to Contact action even when the general Contact section is hidden, depending on its design and the saved controls.
Review the public result rather than assuming both controls always produce the same presentation.
Downloading the VCard Contact
31.28 What Is a VCF File?
A .vcf file is a standard electronic contact file.
It can be opened by many contact applications, including those used on:
- iPhone
- Android phones
- macOS
- Windows
- Email applications
- CRM and address-book systems
The device decides exactly how the imported fields are displayed.
31.29 Public Download Process
The typical visitor process is:
Open VCard
→ Select Add to Contact
→ Download or open VCF
→ Review contact
→ Save to device
When the visitor-details requirement is enabled, an additional form appears before the VCF is provided.
31.30 Downloading from the VCards Dashboard
The card owner can also download the VCF directly from the VCards management list.
To do so:
- Open VCards.
- Locate the desired card.
- Open its three-dot action menu.
- Select Download VCard.
- Open the downloaded contact.
- Confirm that the information is correct.
The VCards action menu contains a direct Download VCard destination connected to the same Add Contact generation route.
31.31 Use the Dashboard Download for Testing
The owner should download the VCF before publishing the card.
Confirm that:
- The name is correct.
- Company is correct.
- Job Title is correct.
- Email addresses are correct.
- Telephone numbers include the right country code.
- The address is correct.
- Social URLs open correctly.
- The profile image appears where supported.
- The public VCard URL works.
31.32 Owner Testing May Bypass the Visitor Form
When the card owner is signed in, some VCard templates allow the contact file to download directly even when public visitors are normally required to share their details first.
The public-template logic distinguishes authenticated users from ordinary public visitors during the Add to Contact action.
Use a private or incognito browser window to test the actual visitor experience.
Asking Visitors to Share Their Details
31.33 Ask Details Before Downloading Contact
The account settings include:

When enabled, a public visitor may be required to share contact information before receiving the cardholder’s VCF file.
The visitor interface explains that contact details must be shared to download the contact.
31.34 Per-Card Versus Account-Level Controls
The two controls operate at different levels.
Display Add To Contact
Stored on the individual VCard.
Ask Details Before Downloading Contact
Stored in the card owner’s user settings and used when public VCards are loaded.
This means the visitor-details requirement may affect multiple VCards belonging to the same account.
31.35 Opening User Settings
To review the visitor-details requirement:
- Open Settings.
- Open the user or general settings area.
- Locate Ask Details before downloading Contact.
- Turn the setting on or off.
- Save the settings.
- Test a public VCard privately.
The exact setting position can vary according to the current settings layout.
31.36 Enabling the Requirement
When the setting is enabled:
- The visitor selects Add to Contact.
- A Share Your Details window appears.
- The visitor completes the displayed fields.
- The visitor submits the form.
- A contact-request record is associated with the VCard.
- The contact file becomes available.
The interface description states that the visitor must share contact details to download the contact.
31.37 Visitor Details
The captured Contact records are designed around visitor information such as:

Complete and test the live public form because validation and telephone formatting may differ according to the browser and account settings.
31.38 Visitor Name
The visitor should enter a recognizable name.

The card owner should not assume that every submitted name has been independently verified.
31.39 Visitor Email
The Email should be entered in a valid email format.

A technically valid format does not guarantee that the address exists.
Do not send confidential material without confirming questionable contact information.
31.40 Visitor Phone
The Telephone Number may be stored with a region code.
The Contacts List formats the number using the saved region code and phone value when both are available.
Example:
When no phone is available, the table can display a dash instead.
31.41 Disabling the Requirement
When Ask Details Before Downloading Contact is turned off:

A direct download does not necessarily create a visitor Contact record because the visitor has not submitted identifying information.
Use this mode when easy contact saving is more important than collecting visitor details.
31.42 Choosing the Appropriate Mode

Ask for Details
Advantages:
- Creates a contact list
- Helps identify interested visitors

Consent and Appropriate Use
31.43 Contact Sharing Is Not Automatic Marketing Consent
A visitor may share details only to obtain the cardholder’s contact file.
Do not automatically treat that action as permission to:
- Add the visitor to newsletters
- Send promotional text messages
- Enroll them in automated campaigns
- Share the details with unrelated organizations
- Add them to WhatsApp groups
- Sell their information
Obtain any additional consent required for marketing activity.
31.44 Privacy Policy
When Ask Details Before Downloading Contact is enabled, the Privacy Policy should accurately explain:
- What visitor information is collected
- Why it is collected
- How it is used
- Whether staff will follow up
- How long it is retained
- Whether it is shared
- How the visitor can request deletion
- Whether the information is exported
Do not describe uses the organization does not actually perform.
31.45 Terms and Contact Collection
The Terms and Conditions may explain appropriate use of the contact-sharing process.
However, Terms should not be used to hide material privacy practices.
Privacy information should remain clear and accessible.
Opening the VCard Contacts List
31.46 Accessing Contacts from the VCards List
Each VCard row contains a telephone-shaped Contacts action.
To open the list:
- Select VCards.
- Locate the desired card.
- Select the telephone or Contacts icon.
- Wait for the VCard Contact page to load.
The action opens the contact records associated with that specific VCard.
31.47 VCard Contact Download Screen

A person may appear more than once when they downloaded contacts from several VCards.
31.50 Understanding the Contact Table
The table can present stored visitor information such as:

When no records exist, the interface displays:
31.51 No Contact Found
When the list is empty, possible reasons include:
- No visitor has shared details.
- Ask Details Before Downloading Contact is off.

- The wrong VCard was opened.
- The card has not been distributed.

- Testing was completed while signed in and bypassed the form.
Exporting Contacts

The buttons are disabled when the selected VCard has zero contact records.
The export controls count the ContactRequest records connected to the selected VCard before enabling the downloads.
31.53 Exporting to PDF
To create a PDF:
- Open the VCard’s Contacts list.
- Confirm that records exist.
- Select Export PDF.
- Wait for the file to generate.
- Open the PDF.
- Review the VCard identity.
- Review the contact details.
- Store it securely.
The generated filename follows this pattern:

31.54 PDF Content
The PDF is generated from:

Confirm that it does not contain contact information from another VCard.

PDF can be useful for:

PDF is not the best format for bulk data processing.

To create the spreadsheet export:
- Open the VCard’s Contacts list.
- Confirm that records exist.
- Select Export XLS.
- Wait for the download.
- Open the file in an approved spreadsheet application.
- Review the columns.
- Protect the file.
Although the button says Export XLS, the generated filename uses the modern .xlsx format:

Using Contacts Operationally
31.63 Contacts Are Not Automatically CRM Leads
The VCard Contacts List is a contact-capture record.
It should not be treated as a complete CRM.
The interface should not be assumed to provide:

A practical process is:
1. Review new VCard Contact records.
2. Confirm the source VCard.
3. Review the visitor’s information.
4. Check for duplicates.
5. Determine whether follow-up is appropriate.
6. Confirm the permitted communication purpose.
7. Add the person to the approved CRM when justified.
8. Record the source and date.
9. Retain or delete the original according to policy.

Updating the Downloaded VCF

31.68 Previously Saved Phone Contacts Do Not Update Automatically
A contact already imported into a visitor’s phone will not ordinarily update itself merely because the VCard was edited.

- Reopen the public VCard.
- Download the contact again.
- Replace or merge the existing device contact.
The included public VCard URL remains useful because it opens the current online information.
31.69 Avoid Frequent Identity Changes
Changing the cardholder’s name, company, or telephone number repeatedly can create duplicate contacts on visitor devices.
Update the VCard when information genuinely changes and test the VCF after every important revision.
Testing on Devices
31.70 iPhone Testing
On an iPhone:
- Open the public VCard in Safari.
- Select Add to Contact.
- Complete the visitor form when required.
- Open the downloaded contact.
- Review all information.
- Select the device’s contact-creation option.
- Confirm that the contact is saved.
- Test email, telephone, and URL actions.
- Delete the test contact when appropriate.
The exact wording depends on the iOS version and browser.
31.71 Android Testing
On Android:
- Open the public VCard.
- Select Add to Contact.
- Complete the visitor form when required.
- Open or download the VCF.
- Choose the intended contact account.
- Import the contact.
- Review the fields.
- Test the telephone and web destinations.
- Remove the test contact where appropriate.
Android behavior can vary by device manufacturer and contact application.
31.72 Desktop Testing
On a computer, the VCF may:
- Download to the Downloads folder
- Open in a contact application
- Ask which program should open it
- Import into an email address book
- Display as a text-based contact file
Confirm that the file is generated successfully even when the computer does not have a default contact application.
Duplicated VCards
31.73 Review Contact Information After Duplication
After duplicating a VCard:
- Open the duplicate.
- Review Basic Details 2.
- Replace First Name and Last Name.
- Replace Company and Job Title.
- Replace primary and alternate emails.
- Replace telephone numbers.
- Replace Location and Location URL.
- Review Social Links.
- Replace the Profile Image.
- Review Display Add To Contact.
- Download and inspect a new VCF.
31.74 Existing Visitor Records
Visitor Contact records are associated with the VCard through which the details were submitted.
Do not use the original card’s contact export as though those visitors submitted their information through the duplicate.
Review each VCard’s Contact page separately.

A duplicate may unintentionally download contact information for the original:

Do not retain contact lists indefinitely without a defined reason.
31.77 Visitor Deletion Requests
When a visitor requests deletion:
- Locate the correct VCard.
- Review its Contact list.
- Locate the person’s record.
- Review exported files.
- Review CRM imports.
- Review email or marketing systems.
- Remove the information where required.
- Record completion according to policy.
Deleting one exported spreadsheet does not remove copies from other systems.
31.78 Protect Telephone and Email Data
Do not publish or share captured visitor details through:
- Public documents
- Social-media posts
- Public team chats
- Unrestricted cloud folders
- Open spreadsheets
- Marketing lists without authorization
Contact data should remain limited to approved business purposes.
Troubleshooting Add to Contact
31.79 Add to Contact Does Not Appear
Confirm that:
- Display Add To Contact is enabled.
- Basic Details 3 was saved.
- The VCard is active.
- The correct VCard is being viewed.
- The selected template displays the action.
- The public page was refreshed.
- The browser is not showing cached content.
- Custom CSS is not hiding the button.
31.80 Contact Section Does Not Appear
Confirm that:
- Contact is enabled in Manage Section.
- Contact fields contain information.
- The VCard was saved.
- The correct template is being tested.
- The page was refreshed.
Remember that Contact visibility and Add to Contact downloading are separate controls.
31.81 Visitor Form Does Not Appear
Confirm that:
- Ask Details Before Downloading Contact is enabled.
- The setting was saved.
- Display Add To Contact is enabled on the VCard.
- The test is being performed while signed out.
- A private browser window is being used.
- The correct account owner’s settings apply to the card.
- The page was refreshed.
A signed-in card owner may bypass the public visitor form.
31.82 Visitor Form Appears Unexpectedly
Review the account-level:

Turn it off and save when direct contact downloading is intended.
Then retest in a private browser window.
31.83 Contact Will Not Download
Confirm that:
- The VCard exists.
- The VCard is accessible.
- The visitor completed required details where applicable.
- The browser allows downloads.
- The browser session remains active.
- The internet connection is working.
- The VCard contact information is valid.
Try another browser or device.
31.84 Downloaded Contact Has the Wrong Name

The VCF generator skips an empty Email field.

Review the saved Location and Location URL separately.
The Location is used as address information.
The Location URL is added as a web destination.
Correct both when necessary.
31.89 Social Link Is Missing
Confirm that:
- The Social Link field contains a complete URL.
- Social Links was saved.
- The correct VCard is being downloaded.
- The social record exists for the card.
- A custom Social Link has an icon and destination.

- A Profile Image is saved.
- The media file still exists.
- The image is publicly accessible.

Some devices may choose not to display embedded contact photos.
Troubleshooting the Contacts List
31.92 Contact List Is Empty
Confirm that:
- Ask Details Before Downloading Contact is enabled.
- Public visitors see the details form.
- The visitor submitted the form completely.
- The correct VCard’s Contacts page is open.
- Testing was performed while signed out.
- The visitor did not cancel before submission.
31.93 Visitor Downloaded the Contact but Is Not Listed
The visitor may have:
- Downloaded while the details requirement was off.
- Downloaded as a signed-in user.
- Used an older VCard page.
- Cancelled the details form.
- Downloaded before the setting was enabled.
- Used another VCard.
A direct download should not be treated as a guaranteed captured Contact record.
31.94 Phone Displays a Dash
This means no telephone information was stored for the Contact record.
Use the available Name or Email information where appropriate.
31.95 Duplicate Contacts Appear
Possible causes include:
- The visitor downloaded more than once.
- The visitor used several devices.
- The visitor submitted through multiple VCards.
- The visitor entered different email or telephone formats.
- The form was submitted repeatedly.
Review duplicates carefully before importing them into another system.
31.96 Export Buttons Are Disabled
Export PDF and Export XLS are disabled when the selected VCard has no Contact records.
Create an authorized public test record before testing exports.
31.97 PDF Will Not Download
Confirm that:
- Contact records exist.
- Export PDF is enabled.
- The browser permits downloads.
- The browser session is active.
- The correct VCard is open.
- Popups or new tabs are not blocked.
- The account has access to the VCard.
31.98 Excel Export Will Not Open
Confirm that:
- The download completed.
- The filename ends in
.xlsx. - The spreadsheet application supports XLSX.
- The file was not renamed incorrectly.
- Security software is not blocking it.
- The file was generated for the correct VCard.
Do not upload personal contact data to an unknown online converter.
31.99 Export Contains the Wrong Contacts
Confirm that:
- The correct VCard’s telephone icon was selected.
- The page title corresponds to the intended card.
- The correct VCard ID was used.
- Records were not combined manually afterward.
- An old export was not opened accidentally.
Delete incorrectly distributed copies according to the organization’s privacy process.

Before relying on the Contact workflow, confirm that:
- First Name is correct.
- Last Name is correct.
- Company is correct.
- Job Title is correct.
- Primary Email is current.
- Alternate Email is appropriate.
- Primary Telephone Number is correct.
- Alternate Telephone Number is correct.
- Country and region codes are accurate.
- Location is approved for public use.
- Location URL opens correctly.
- Profile Image is current.
- Standard Social Links are accurate.
- Custom Social Link filenames provide clear labels.
- Display Add To Contact is configured intentionally.
- Contact visibility in Manage Section was reviewed.
- Ask Details Before Downloading Contact is configured intentionally.
- The visitor form was tested while signed out.
- The VCF was tested on iPhone or Android.
- The VCF was tested on a computer.
- The saved contact contains the correct fields.
- The VCard Contacts List shows the correct source records.
- Export PDF was tested.
- Export XLS was tested.
- Exports are stored securely.
- Visitor contact data is not treated as automatic marketing consent.
- The Privacy Policy explains contact collection.
- Duplicated VCards contain the correct identity and contact information.
- Previously saved device contacts are understood not to update automatically.
