2.1 Overview

Creating a new digital card begins in the VCards section. The system first asks for the card’s public address, name, professional description, and main images. After the initial card is created, the editor opens and provides three Basic Details sections:

  1. Basic Details 1 — card identity, description, cover media, profile image, and favicon
  2. Basic Details 2 — personal, professional, contact, location, and language information
  3. Basic Details 3 — public display controls, QR settings, contact options, sharing, and directory visibility

The system uses Save & Next to move the user through these sections.

2.2 Opening the New VCard Form

From the main dashboard, select VCards from the left navigation menu.

On the VCards page, select New VCard.

The New VCard page opens with the first Basic Details form. A Back button appears at the top of the page and returns you to the VCards list without creating a new card.

Complete the required information before selecting Save & Next.

2.3 Creating the URL Alias

The URL Alias determines the public address of the digital card.

For example, entering:

john-smith

creates a public card address similar to:

https://book.poweredbyaiunify.com/john-smith

The URL Alias must be unique because two digital cards cannot use the same public address.

Enter a recognizable alias related to the person, company, department, event, or purpose of the card. Suitable examples include:

tonya-collins
esquire-consulting
aiunify-support
detroit-realtor

The URL Alias must contain between 6 and 100 characters.

A rotation icon appears beside the field. Select this icon when you want the system to generate an alias automatically.

If the alias is already being used, the system displays an error stating that the alias URL is unavailable. Enter or generate a different alias before continuing.

After the card has been created, the alias may become locked from editing based on the platform’s URL settings. When alias editing is available, changing it also changes the public address of the card.

2.4 Entering the VCard Name

Enter the internal and public name of the digital card in the VCard Name field.

This is not necessarily limited to the cardholder’s personal name. It may identify:

The VCard Name is required and must contain at least two characters.

Use a name that helps both the card owner and visitors immediately understand who or what the card represents.

2.5 Entering the Occupation

Use the Occupation field to provide a brief professional identity or business category.

Examples include:

Financial Education Consultant
Small Business Advisor
Real Estate Professional
Technology Solutions Provider
Chief Executive Officer

The occupation normally appears near the cardholder’s name in the selected card template.

This field is optional but recommended because it helps visitors quickly understand the cardholder’s role.

2.6 Writing the Description

The Description field provides a summary of the person, company, service, organization, or purpose represented by the card.

The description editor supports formatted text. Depending on the available editor controls, users can format paragraphs, emphasis, spacing, links, and other text elements.

A useful description should explain:

  1. Who the card represents
  2. What the person or company does
  3. Who they serve
  4. What makes the service valuable
  5. What action visitors should take

Example:

AIUNIFY provides business owners with a connected collection of digital tools for customer engagement, marketing, communication, operations, and growth.

Avoid entering only a slogan when visitors also need practical information about the business.

2.7 Generating the Description with AI

Below the Description field, select Generate Description with AI to open the AI description window.

Use this feature to create a starting description when you do not already have prepared text.

Provide clear information about the person or business, such as:

Write a professional description for a financial education consultant who provides school programs, student assessments, teacher training, and financial literacy curriculum.

Review the generated description before placing it on the card.

Correct names, services, locations, claims, contact information, and other details that the AI may not know. The generated content should be treated as editable draft material rather than automatically approved content.

2.8 Assigning Organization Users

When the account is being operated as an organization owner, a Select Users field may appear.

Use this field to assign the digital card to one or more organization users.

Select the field and choose each user who should have access to or association with the card. Because the field supports multiple selections, the same card can be assigned to more than one organization user.

This can be useful for:

  1. Shared company cards
  2. Department cards
  3. Sales team cards
  4. Event cards
  5. Organization-wide contact cards
  6. Cards managed by more than one team member

Review the selected users before saving the card.

2.9 Selecting the Cover Type

The Cover Type determines what appears in the main cover area of the digital card.

The available cover types are:

Image

Select Image to upload a static cover image.

This is suitable for:

  1. Company banners
  2. Branded graphics
  3. Building or office photographs
  4. Product images
  5. Event graphics
  6. Professional background images

Video

Select Video to upload a video file that appears in the cover area.

This can be used for:

  1. Company introductions
  2. Promotional videos
  3. Product demonstrations
  4. Personal welcome messages
  5. Property walkthroughs
  6. Event previews

YouTube Link

Select YouTube Link to display a video hosted on YouTube.

Enter the complete YouTube address in the field that appears, such as:

https://www.youtube.com/watch?v=example

The YouTube Link must be a valid URL.

Changing the Cover Type changes the corresponding upload or link field shown on the screen.

2.10 Uploading a Cover Image

When Image is selected as the Cover Type, select the edit icon inside the Cover Image area.

Choose an image from your device.

The interface prepares the cover image using a wide display area. The programmed crop area uses a width of 576 pixels and a height of 300 pixels.

For best results, use a landscape image with enough space around important text, logos, faces, or products. Images that are too tall or narrow may be cropped when displayed.

Accepted image formats include:

JPG
JPEG
BMP
PNG
APNG
AVIF

The maximum cover-image file size is 10 MB.

After selecting the image, review the preview and adjust the crop before confirming it.

2.11 Uploading a Cover Video

When Video is selected as the Cover Type, select the edit icon inside the Cover Video area.

Choose a video from your device.

Supported video formats include:

MP4
MPEG
OGG
WEBM
3GP
MOV
FLV
AVI
WMV
TS

The maximum cover-video file size is 10 MB.

Use a compressed, web-ready video whenever possible. A very large or lengthy video may load slowly for visitors using mobile devices or limited internet connections.

The video preview appears in the cover area after it has been uploaded.

2.12 Entering a YouTube Cover Link

When YouTube Link is selected, enter the complete address of the YouTube video.

Use the full video link rather than only the video title or identification code.

Correct:

https://www.youtube.com/watch?v=hAGbufevHM4

Incorrect:

hAGbufevHM4

The system requires the entry to be formatted as a valid web address.

After saving, preview the public card and confirm that the video can be opened or played correctly.

2.13 Uploading the Profile Image

Select the edit icon inside the Profile Image area.

Choose a professional photograph, headshot, company logo, product logo, organization seal, or other image that identifies the card owner.

The profile image appears prominently in most digital-card templates.

For personal cards, use a clear head-and-shoulders photograph. For company or department cards, use a clean logo with enough space around the edges.

Accepted profile-image formats include:

JPG
JPEG
BMP
PNG
APNG
AVIF

Review the crop and preview before saving.

When no profile image is uploaded, the system uses its default user image.

2.14 Uploading the Favicon

The Favicon Image is the small icon shown in the browser tab when someone opens the digital card.

Select the edit icon inside the Favicon area and upload a square image.

The favicon must not exceed:

16 × 16 pixels

A larger favicon is rejected by the system.

Use a simplified image because small details and long text will not remain readable at favicon size. Suitable favicon images include:

  1. A company symbol
  2. A single letter
  3. A simplified logo
  4. A recognizable brand icon
  5. A small portrait or emblem

When no custom favicon is uploaded, the system uses the default platform favicon.

2.15 Saving Basic Details 1

After completing the first section, select Save & Next.

The system checks the information for missing or invalid entries. Common issues include:

  1. URL Alias already in use
  2. URL Alias too short
  3. Invalid image format
  4. Cover file larger than 10 MB
  5. Favicon larger than 16 × 16 pixels
  6. Invalid YouTube address
  7. Missing VCard Name

When the information is accepted, the digital card is created and the editor opens.

The editor displays three tabs:

Basic Details 3

Select Discard to return to the VCards page without saving the current changes.

After the initial card has already been created, selecting Discard does not delete the entire card. It only leaves the current editing screen without saving unsaved changes.

2.16 Opening Basic Details 2

After Basic Details 1 is saved, the system opens Basic Details 2.

You can also return to this section later by opening the card editor and selecting the Basic Details 2 tab.

This section contains the information used for direct contact, contact-file downloads, professional identification, location display, and card localization.

2.17 Entering the First and Last Name

Enter the cardholder’s name in the First Name and Last Name fields.

Both fields are marked as required in the interface.

These fields may be used when visitors:

  1. View the cardholder’s identity
  2. Download the cardholder’s contact information
  3. Save the person to their phone
  4. Review appointments or inquiries
  5. Interact with the card’s communication tools

The First Name must contain at least two characters.

For a general company card, enter a suitable organization identity across the name fields when a personal cardholder is not being represented.

2.18 Entering the Primary Email Address

Enter the main contact address in the Email field.

Example:

contact@businessname.com

The entry must be formatted as a valid email address.

When displayed by the selected template, visitors can select the email address to open their device’s email application.

Use an address that is monitored regularly.

2.19 Entering the Primary Phone Number

Use the Phone field to enter the main contact number.

Select the correct country or region code and enter the remaining telephone number.

The system validates the number and can display either:

Valid Number

or:

Invalid Number

Do not manually repeat the country code in the local-number portion when the country selector has already added it.

The public card can use this number for click-to-call functionality.

2.20 Adding an Alternative Email and Phone Number

Use Alternate Email to provide a second email address.

Use Alternative Phone to provide a second telephone number.

These fields are helpful when the card needs to include separate contact methods, such as:

  1. Office and mobile telephone numbers
  2. General and personal email addresses
  3. Sales and customer-service contacts
  4. Daytime and after-hours numbers
  5. Main office and branch contact information

The alternate email must use a valid email format. The alternate phone field also uses country-code and number validation.

2.21 Entering the Location

Enter the physical address, service area, office location, mailing address, or other location description in the Location field.

Example:

Detroit, Michigan

or:

123 Business Avenue, Suite 200, Detroit, MI 48201

The Location field provides the visible location text. The Location Type determines how visitors interact with that location.

2.22 Selecting the Location Type

The system provides two location types:

Link

Select Link when you want the location to open through a map or external web address.

Enter the corresponding destination in the Location URL field.

Example:

https://maps.google.com/...

Embed Tag

Select Embed Tag when you want a map or location component displayed directly inside the card.

Paste the complete map embed code into the Location Embed Tag field.

Use embed code supplied by a trusted mapping provider. Do not paste ordinary website text or an unsupported page address into the Embed Tag field.

2.23 Entering the Date of Birth

Use the Date of Birth field when the cardholder wants this information included in the card or downloadable contact information.

This field is optional.

Consider privacy before displaying a complete birth date publicly. A user may choose to leave it blank when the information is not required.

2.24 Entering the Company and Job Title

Use the Company field to identify the business, organization, agency, department, school, nonprofit, or other entity connected to the cardholder.

Use the Job Title field to enter the person’s official position.

Example:

Company: AIUNIFY Technology
Job Title: Business Technology Consultant

The Job Title is usually more specific than Occupation.

For example:

Occupation: Financial Education Professional
Job Title: Director of Curriculum Development

2.25 Entering the “Made By” Attribution

The Made By field allows a creator, company, agency, or service provider to be credited on the digital card.

Example:

Powered by AIUNIFY

Use Made By URL to connect that attribution to a website.

Example:

https://poweredbyaiunify.com

The Made By URL must be a valid web address.

These fields can be left blank when no custom creator attribution is needed.

2.26 Selecting the Default Language

Use Default Language to determine the initial language used when visitors open the digital card.

Select the preferred language from the dropdown list.

The Default Language controls the starting language. The separate language-localization switch in Basic Details 3 determines whether visitors are given access to language localization on the public card.

2.27 Selecting the Cover Image Display Type

Use Cover Image Type to control how an uploaded cover image fits inside the card’s cover area.

Cover

The image fills the entire cover area. Portions of the image may be cropped along the edges to fill the space.

Contain

The complete image remains visible inside the available area. Empty space may appear around the image when its proportions do not match the cover area.

Select Cover for full-width photographs and backgrounds. Select Contain when displaying an entire logo, flyer, product image, or graphic is more important than filling every part of the cover area.

2.28 Saving Basic Details 2

Select Save & Next after completing the contact and professional information.

The system saves the section and opens Basic Details 3.

Select Discard to leave the screen without saving the current changes.

2.29 Understanding the Display Controls

Basic Details 3 contains switches that determine which public tools and sections appear on the digital card.

A switch that is turned on enables its corresponding function. A switch that is turned off hides or disables that public function.

These controls can be changed at any time by reopening the card editor.

2.30 Display Language Localization

Turn on Display Language Localization to make the card’s language-localization function available to visitors.

This is useful when the card serves visitors who speak different languages.

The Default Language selected in Basic Details 2 remains the card’s initial language.

2.31 Display Enquiry Form

Turn on Display Enquiry Form to allow visitors to submit questions, requests, messages, and other inquiries through the card.

Submitted inquiries can later be reviewed from the system’s Inquiries area.

Turn this option off when the card should provide information without accepting public inquiry submissions.

2.32 Display Download QR Icon

Turn on Display Download QR Icon to allow visitors to download the QR code connected to the card.

The downloaded code can be used on:

  1. Business cards
  2. Flyers
  3. Posters
  4. Signs
  5. Product packaging
  6. Presentations
  7. Email signatures
  8. Social-media graphics
  9. Printed marketing materials

This setting controls the public download option.

2.33 Display QR Section

Turn on Display QR Section to show the QR code as a visible section on the digital card.

This is separate from the Download QR Icon.

The QR section displays the code within the card. The download icon allows the visitor to save a copy of it.

Either setting can be managed independently.

2.34 Display User Affiliation

Turn on Display User Affiliation to display the user’s affiliation or referral-related feature on the public card.

This may be used to connect visitors to the cardholder’s referral registration or affiliation activity.

Turn it off when affiliation information should not be publicly displayed.

2.35 Display Add to Contact

Turn on Display Add to Contact to provide an option that lets visitors save the cardholder’s information to their device.

The saved contact may include supported information such as:

  1. First and last name
  2. Company
  3. Job title
  4. Email address
  5. Phone number
  6. Public card address

This feature makes it easier for visitors to retain the cardholder’s details without entering them manually.

2.36 Hide Sticky Bar

Turn on Hide Sticky Bar when you do not want the card’s fixed action bar displayed.

The sticky bar normally remains visible while the visitor moves through the card and can provide quick access to communication or action buttons.

Because this is a hide control:

Switch On = Sticky bar hidden
Switch Off = Sticky bar displayed

2.37 Display WhatsApp Share

Turn on Display WhatsApp Share to allow visitors to share the digital card through WhatsApp.

When used, the visitor’s WhatsApp application opens with the card address prepared for sharing.

This provides a convenient way for visitors to forward the card to customers, colleagues, friends, family members, or business contacts.

2.38 Setting the QR Code Download Size

Use the QR Code Download Size slider to control the dimensions of the downloadable QR image.

Available sizes range from:

100 px to 500 px

The slider changes in increments of:

100 px

The selected size is displayed beside the slider.

Smaller QR codes may be suitable for digital use. Larger QR codes are generally better for printed materials, provided the image is placed at an appropriate physical size and remains clear.

2.39 Display Business Directory

Turn on Display Business Directory to make the digital card eligible for display through the platform’s public business directory.

This helps visitors discover the card through the directory rather than only through its direct URL or QR code.

Turn this option off when the card should remain accessible only through direct sharing.

2.40 Saving Basic Details 3

After configuring the public display controls, select Save.

A success message confirms that the digital card has been updated.

Select Discard to return to the VCards page without saving the current changes.

The card’s core identity, contact information, images, public display controls, and sharing options are now configured.
