14.1 Overview

The Galleries section allows the card owner to add visual, audio, video, and downloadable content to a digital VCard.

The programmed Gallery supports five content types:

YouTube
File
Video
Audio

Each gallery entry contains a selected Type, an optional Gallery Category, and either an uploaded media file or a YouTube address. The Gallery management table provides controls for editing and deleting each entry.

Gallery content can be used to present:

  1. Completed projects
  2. Product photographs
  3. Training videos
  4. Property tours
  5. Customer results
  6. Event media
  7. Audio recordings
  8. Workbooks and reports
  9. Certificates
  10. Spreadsheets
  11. YouTube demonstrations

14.2 Galleries Versus Gallery Categories

The Gallery Category section creates the organizational groups covered in Chapter 13.

The Galleries section contains the actual media.

A gallery entry can also be created without a category. Categories are optional, but they are recommended when the VCard contains several types or subjects of media.

14.3 Opening the Galleries Section

From the dashboard:

  1. Select VCards.
  2. Locate the digital card you want to update.
  3. Select the card name or the Edit icon.
  4. Open the additional VCard editing options.
  5. Select Galleries.

The editor places Gallery Category and Galleries next to each other so categories can be created before media is uploaded.

On a phone or smaller screen, select the menu icon inside the VCard editor before opening the additional settings.

14.4 Understanding the Gallery Screen

The Galleries screen contains an Add Gallery button and a table of saved entries.

The management table identifies each item by its:

Type
Media link
Actions

The media link opens the uploaded file or external YouTube destination in a separate browser tab.

Each Gallery entry provides:

Edit
Delete

There is no separate View window. Use the displayed media link or open the public VCard to review the content.

The system maintains dedicated create, edit, update, and delete operations for Gallery entries.

Adding Gallery Content

14.5 Opening the New Gallery Form

Select Add Gallery.

The New Gallery window opens with:

Type
Category
Media field
Save
Discard

The media field changes according to the selected Type.

For example:

  1. Image displays an image-upload control.
  2. YouTube displays a URL field.
  3. File displays a file-upload button.
  4. Video displays a video-upload button.
  5. Audio displays an audio-upload button.

14.6 Selecting the Gallery Type

Open the Type dropdown and select the format that matches the content you are adding.

The Type is required.

Do not select one type and upload another kind of content. For example, do not select Video for an audio recording or Image for a PDF document.

The system validates the uploaded media according to the selected Type.

14.7 Selecting a Gallery Category

Use the Category dropdown to assign the entry to an existing Gallery Category.

The list contains categories belonging to the current VCard and arranges them alphabetically.

Example:

Type: Video
Category: Product Demonstrations

The Category field is optional. Leave it blank when the entry should remain uncategorized.

Create missing categories through Gallery Category before opening the New Gallery form.

Adding Images

14.8 Selecting Image

Select:

Type: Image

The form displays the Gallery image-upload control.

An image is required when creating a new Image entry.

14.9 Supported Image Formats

The Gallery’s programmed image validation accepts:

JPG
JPEG
PNG
WEBP

Use one of these formats for reliable uploading.

Do not upload PDF, GIF, SVG, video, or document files under the Image type.

14.10 Uploading a Gallery Image

To add an image:

  1. Select Image as the Type.
  2. Select a Category when appropriate.
  3. Select the edit icon inside the image area.
  4. Choose the image from your device.
  5. Adjust the crop or preview when prompted.
  6. Confirm that the correct image appears.
  7. Select Save.

When the image is accepted, the New Gallery window closes and the entry appears in the Gallery table.

14.11 Choosing Effective Gallery Images

Use images that are:

  1. Clear and properly focused
  2. Relevant to the selected category
  3. Correctly oriented
  4. Free from unnecessary borders
  5. Large enough to display clearly
  6. Appropriate for public viewing
  7. Consistent with the VCard’s branding

Examples include:

Project photographs
Product images
Event photographs
Certificates
Portfolio examples
Before-and-after images
Staff photographs
Property photographs

14.12 Image Orientation

The selected VCard template determines how the image is displayed.

For a consistent gallery, use images with similar proportions whenever practical.

Avoid mixing extremely tall portrait images with very wide landscape images unless the design has been previewed carefully.

Keep the primary subject away from the outer edges so important information is not lost when the image is resized or cropped.

14.13 Images Containing Text

When an image contains text, confirm that the words remain readable on a mobile phone.

Avoid uploading:

  1. Screenshots with tiny text
  2. Full-page documents saved as images
  3. Blurry flyers
  4. Low-resolution certificates
  5. Graphics with important text near the edge

Use the File type for documents that visitors need to read or download.

Adding YouTube Content

14.14 Selecting YouTube

Select:

Type: YouTube

The image-upload area is replaced by a YouTube URL field.

No video file needs to be uploaded when using this type.

14.15 Entering the YouTube Address

Enter the complete YouTube video address.

Example:

https://www.youtube.com/watch?v=hAGbufevHM4

Use the full public address copied from YouTube.

Do not enter:

  1. A YouTube account password
  2. An editing-studio address
  3. A private administrative link
  4. HTML embed code
  5. An unrelated website address

The Gallery form is designed to receive the YouTube URL rather than an iframe embed tag.

14.16 Public and Private YouTube Videos

Use a video that visitors are permitted to view.

A private YouTube video may not display for ordinary VCard visitors.

Before adding the link:

  1. Open it in a private browser window.
  2. Confirm that the video loads.
  3. Confirm that no private login is required.
  4. Confirm that embedding or external viewing is allowed.
  5. Confirm that the video has not been removed.

14.17 Suitable YouTube Gallery Content

YouTube entries can be used for:

Product demonstrations
Training lessons
Property tours
Event highlights
Company introductions
Customer testimonials
Interviews
Webinar recordings
Service explanations
Instructional videos

Choose videos that support the purpose of the VCard.

14.18 Saving a YouTube Entry

After selecting the Type, Category, and URL, select Save.

The Gallery table displays the YouTube Type and the saved link.

Open the link from the management table and review the public VCard to confirm that the correct video is connected.

Adding Downloadable Files

14.19 Selecting File

Select:

Type: File

The form displays an Upload File button.

Use this type for documents, reports, worksheets, spreadsheets, and other downloadable resources.

14.20 Supported File Formats

The programmed server validation accepts:

TXT
XLS
XLSX
CSV
XML
PDF
DOC
DOCX

The browser’s file-selection window is configured to display these formats first:

XLSX
XLS
CSV
PDF

Other programmed formats may not initially appear in the file picker unless the device’s file-type filter is changed.

For the simplest visitor experience, PDF is normally the preferred format for documents that should look the same on different devices.

14.21 Uploading a File

To add a downloadable file:

  1. Select File as the Type.
  2. Choose a Category when appropriate.
  3. Select Upload File.
  4. Choose the document from your device.
  5. Confirm that its filename appears beside the upload button.
  6. Select Save.
  7. Open the saved link and test the document.

The uploaded file is required when creating a new File entry.

14.22 Suitable Gallery Files

Examples include:

PDF brochure
Price list
Course workbook
Registration document
Annual report
Product specification
Spreadsheet
CSV data file
Word document
Certificate
Instruction manual

Do not upload documents containing confidential customer, employee, financial, medical, or administrative information.

Anything attached to a public VCard should be treated as publicly accessible.

14.23 Naming Files Before Uploading

Give the file a meaningful filename before uploading it.

Better:

AIUNIFY-Business-Services-Brochure.pdf

Less useful:

document-final-new-2.pdf

Clear filenames help visitors identify downloaded documents and make future Gallery maintenance easier.

14.24 Browser Download Behavior

Depending on the file format and visitor’s browser, selecting the file may:

  1. Open it in a new tab
  2. Display a preview
  3. Begin a download
  4. Ask the visitor which application to use

The VCard does not control every device’s file-handling behavior.

Test important files on both desktop and mobile devices.

Adding Videos

14.25 Selecting Video

Select:

Type: Video

The form displays a video-upload button.

Use this type when the video file should be hosted directly through the VCard system instead of YouTube.

14.26 Supported Video Formats

The programmed video validation accepts:

MPEG
OGG
MP4
WEBM
3GP
MOV
FLV
AVI
WMV
TS

For the widest browser and mobile-device compatibility, MP4 is generally the most practical format.

Older formats such as FLV or WMV may upload successfully but may not play consistently in every modern browser.

14.27 Video Size Limit

The programmed maximum upload size is approximately:

100 MB

The exact validation value is 100,040 KB.

Compress oversized videos before uploading.

A shorter and properly optimized video will normally load more efficiently for mobile visitors.

14.28 Uploading a Video

To add a video:

  1. Select Video as the Type.
  2. Select a Category when needed.
  3. Select Upload File.
  4. Choose the video from your device.
  5. Confirm that the filename appears.
  6. Select Save.
  7. Wait for the upload to finish before closing the page.
  8. Test the video from the public VCard.

Large files may require more time to upload.

Do not select Save repeatedly while the file is still uploading.

14.29 Preparing Videos for Mobile Viewing

For better performance:

  1. Use MP4 when possible.
  2. Keep the video focused and concise.
  3. Compress unnecessarily large files.
  4. Avoid extremely high resolutions when not needed.
  5. Use clear audio.
  6. Remove long blank openings.
  7. Confirm that the video is correctly oriented.
  8. Test it over a mobile connection.

A direct video upload can make the VCard slower when the file is large. YouTube may be more suitable for lengthy videos.

14.30 Direct Video Versus YouTube

Use Video when:

  1. The media should be hosted directly.
  2. The content is not on YouTube.
  3. The user wants visitors to view the uploaded file.
  4. External branding should be avoided.

Use YouTube when:

  1. The video is already published there.
  2. The file is large.
  3. Streaming performance is important.
  4. The content should also receive YouTube views.
  5. The video will be updated or managed through YouTube.

Adding Audio

14.31 Selecting Audio

Select:

Type: Audio

The form displays an audio-upload button.

Audio Gallery entries may be used for:

Podcasts
Music samples
Interviews
Voice introductions
Training recordings
Customer testimonials
Meditations
Speeches
Audio instructions

14.32 Supported Audio Formats

The upload control may display several audio extensions, but the programmed validation reliably accepts:

MP3
WAV
OGG

Use one of these three formats to avoid validation errors.

MP3 normally provides the most convenient balance between file size and browser compatibility.

14.33 Audio Size Limit

The programmed maximum audio-upload size is approximately:

100 MB

Compress very large audio recordings before uploading.

Long WAV recordings can become extremely large. Converting them to MP3 may make the file easier for visitors to load.

14.34 Uploading Audio

To add an audio entry:

  1. Select Audio as the Type.
  2. Select a Category when appropriate.
  3. Select Upload File.
  4. Choose an MP3, WAV, or OGG file.
  5. Confirm that the filename appears.
  6. Select Save.
  7. Open the public VCard and test playback.

Use headphones or reduce the device volume before testing audio in a public environment.

14.35 Preparing Audio Content

Before uploading:

  1. Remove unnecessary silence.
  2. Confirm that speech is understandable.
  3. Balance the volume.
  4. Remove confidential conversations.
  5. Give the file a clear name.
  6. Confirm that the complete recording plays.
  7. Compress the file when necessary.

Do not upload copyrighted music or recordings without authorization.

Saving Gallery Entries

14.36 Completing the New Gallery Form

Before selecting Save, confirm that:

The correct Type is selected.
The correct Category is selected.
The required image, link, file, video, or audio is provided.
The selected content belongs to the correct VCard.

Select Save.

When the entry is accepted:

  1. A success message appears.
  2. The New Gallery window closes.
  3. The Gallery table refreshes.
  4. The new entry appears.
  5. Its media link becomes available for testing.

14.37 Using Discard

Select Discard to close the New Gallery window without saving.

Discard does not affect previously saved Gallery entries.

Any selected but unsaved upload will need to be selected again when the form is reopened.

Editing Gallery Entries

14.38 Opening the Edit Gallery Form

Select the Edit icon beside the entry you want to change.

The Edit Gallery window opens with the current:

Type
Category
Media information

You can change the Type, Category, YouTube address, or uploaded media.

14.39 Changing the Category

To move an item into a different category:

  1. Select Edit.
  2. Open the Category dropdown.
  3. Select the new category.
  4. Keep the existing Type.
  5. Select Save.
  6. Review the public Gallery.

The media does not need to be recreated solely because its category changed.

14.40 Removing the Category

To make the entry uncategorized:

  1. Open the Edit Gallery form.
  2. Clear the Category selection.
  3. Select Save.

The media remains in the Gallery but is no longer assigned to the previous category.

14.41 Replacing an Image

When the Type remains Image, the current image can remain unless a replacement is selected.

To replace it:

  1. Open Edit.
  2. Select the image-edit control.
  3. Choose the replacement.
  4. Review the preview.
  5. Select Save.

The replacement must be JPG, JPEG, PNG, or WEBP.

14.42 Replacing a File

When the Type remains File, the current uploaded document can remain unless a new file is selected.

To replace it:

  1. Open Edit.
  2. Select Upload File.
  3. Choose the replacement document.
  4. Confirm the filename.
  5. Select Save.
  6. Test the new link.

Use the same supported document formats described earlier in this chapter.

14.43 Editing Video and Audio Entries

When editing a Video or Audio Gallery entry, prepare to select the media file again.

The programmed update validation requires a video or audio file during the update process, including when other information such as the Category is being changed.

Before opening Edit, make sure the original or replacement file is available on your device.

This requirement does not apply in the same way to unchanged Image and File entries.

14.44 Changing the Gallery Type

The Type can be changed during editing.

For example:

Image → YouTube
File → Image
YouTube → Video
Audio → File

When changing the Type, provide the media required for the new selection.

Example:

Old Type: YouTube
New Type: Video

Required action:
Upload a valid video file before saving.

The previous media does not automatically convert into the new format.

14.45 Updating a YouTube Address

To replace a YouTube video:

  1. Open Edit.
  2. Confirm that YouTube is selected.
  3. Delete the old address.
  4. Paste the complete new address.
  5. Select Save.
  6. Test the public Gallery.

Make sure the replacement video is publicly available.

14.46 Saving Gallery Changes

Select Save after completing the edits.

A success message confirms the update and the Gallery table refreshes.

Select Discard to close the window without saving the current changes.

Deleting Gallery Entries

14.47 Deleting an Entry

Select the Delete icon beside the Gallery item.

Review the confirmation message and approve the deletion.

The system removes the Gallery record and clears its associated uploaded media.

Deleting a YouTube entry removes the saved link from the VCard but does not delete the original video from YouTube.

14.48 Review Before Deleting

Before approving deletion, confirm:

  1. The correct item was selected.
  2. The media is no longer needed.
  3. A backup exists when necessary.
  4. The item is not being used for a current promotion.
  5. The category will still contain useful content.
  6. The file is not the only available copy.

The Gallery screen does not provide a visible recycle bin or restore control.

14.49 Replacing Instead of Deleting

Use Edit instead of Delete when:

  1. A newer image is available.
  2. A document was updated.
  3. A YouTube link changed.
  4. A video was revised.
  5. An audio recording was replaced.
  6. The item belongs in a different category.

Editing preserves the Gallery entry while updating its content.

Gallery Order and Organization

14.50 No Visible Sort Field

The Gallery form does not provide a visible Sort or Order field.

After adding several entries:

  1. Open the public VCard.
  2. Review the displayed sequence.
  3. Confirm that the most important media is easy to find.
  4. Use categories to improve organization.
  5. Delete and recreate entries when a different sequence is necessary and no other ordering control is available.

Do not assume the dashboard table order will always match every VCard template’s public presentation.

14.51 Use Categories to Reduce Clutter

When the Gallery becomes large, divide it into meaningful categories.

Example:

Images → Completed Projects
Videos → Service Demonstrations
Files → Downloadable Resources
Audio → Interviews
YouTube → Training Videos

A category can contain more than one media type when the items share the same subject.

14.52 Avoid Excessive Media

A very large Gallery can make the VCard longer and slower to load.

Feature the strongest content and remove:

  1. Duplicate images
  2. Outdated files
  3. Very similar videos
  4. Expired promotional material
  5. Broken links
  6. Low-quality media
  7. Test uploads

Use external websites or cloud-storage links for extensive archives when appropriate.

Public Gallery Visibility

14.53 Showing the Gallery Section

The complete Gallery is controlled through Manage Sections.

To display it:

  1. Open the VCard editor.
  2. Select Manage Sections.
  3. Enable Gallery.
  4. Save the section settings.
  5. Open the public VCard.

Adding media does not replace the need to confirm that the Gallery section is publicly enabled.

14.54 Hiding the Gallery Without Deleting Content

To temporarily hide the Gallery:

  1. Open Manage Sections.
  2. Disable Gallery.
  3. Save the change.

The Gallery Categories and media entries remain stored.

This is useful while:

  1. Media is being updated.
  2. A new portfolio is being prepared.
  3. Outdated content is being reviewed.
  4. The card is being redesigned.
  5. The Gallery is temporarily not needed.

Reviewing the Public Gallery

14.55 Testing Every Media Type

After saving Gallery content:

  1. Return to VCards.
  2. Open the card’s preview or public address.
  3. Locate the Gallery section.
  4. Open every image.
  5. Play every direct video.
  6. Play every audio recording.
  7. Open every YouTube video.
  8. Open or download every document.
  9. Review the categories.
  10. Test the Gallery on desktop and mobile devices.

The selected VCard template determines the exact Gallery layout and controls.

14.56 Reviewing Images

Confirm that:

  1. Images are clear.
  2. Cropping is acceptable.
  3. The full subject is visible.
  4. Images open when selected.
  5. No image belongs to the wrong category.
  6. The Gallery remains easy to navigate.

14.57 Reviewing Videos

Confirm that:

  1. The video loads.
  2. Playback starts.
  3. Sound works.
  4. The orientation is correct.
  5. Controls remain accessible.
  6. The file does not take an excessive time to load.
  7. Mobile playback works.

14.58 Reviewing Audio

Confirm that:

  1. The audio player appears.
  2. Playback begins.
  3. The volume is reasonable.
  4. The recording is complete.
  5. The file works on a phone.
  6. The page can continue scrolling while the player is visible.

14.59 Reviewing Files

Confirm that:

  1. The correct document opens.
  2. The file is readable.
  3. The download is not damaged.
  4. The filename is meaningful.
  5. The document does not contain confidential information.
  6. The file works without administrative access.

14.60 Reviewing YouTube Content

Confirm that:

  1. The video is still available.
  2. The correct video opens.
  3. The video can be viewed publicly.
  4. The player does not display a restriction error.
  5. The content is current.
  6. The link does not direct visitors to an unrelated video.

Troubleshooting Gallery Content

14.61 The Gallery Entry Will Not Save

Confirm that:

  1. A Type is selected.
  2. The required media is provided.
  3. The file format matches the Type.
  4. The video or audio is below the size limit.
  5. The YouTube address is complete.
  6. The browser session remains active.
  7. The upload finished before Save was selected.

14.62 Image Upload Error

Use:

JPG
JPEG
PNG
WEBP

Confirm that the image is not damaged and can be opened on your device.

14.63 Document Upload Error

Use one of the programmed document formats:

TXT, XLS, XLSX, CSV, XML, PDF, DOC, or DOCX

When the file does not appear in the selection window, change the file picker to show all supported files or use PDF, XLS, XLSX, or CSV.

14.64 Video Upload Error

Confirm that:

  1. The format is supported.
  2. The file is below approximately 100 MB.
  3. The upload was not interrupted.
  4. The internet connection remained active.
  5. The browser window stayed open.

Converting the video to MP4 may resolve compatibility problems.

14.65 Audio Upload Error

Use MP3, WAV, or OGG.

Although the chooser may show additional audio formats, the programmed validation reliably accepts those three.

Also confirm that the file is below approximately 100 MB.

14.66 Editing Video or Audio Requires a File

The update form requires the media file for Video and Audio entries.

Select the original or replacement file before saving the edit.

14.67 The YouTube Video Does Not Display

Confirm that:

  1. The complete URL was entered.
  2. The video still exists.
  3. The video is not private.
  4. External playback is allowed.
  5. The Gallery section is enabled.
  6. The public page was refreshed.

14.68 The Gallery Does Not Appear Publicly

Confirm that:

  1. At least one Gallery entry exists.
  2. The entry saved successfully.
  3. The VCard is active.
  4. Gallery is enabled in Manage Sections.
  5. The correct VCard was edited.
  6. The public page has been refreshed.
  7. The selected template is displaying the Gallery section.

14.69 The Wrong Category Appears

Edit the Gallery entry and select the correct Category.

Confirm that the category belongs to the current VCard and that the revised entry was saved.

14.70 Old Media Still Appears

After editing or deleting:

  1. Refresh the public VCard.
  2. Open it in a private browser window.
  3. Clear the browser cache when necessary.
  4. Confirm that the success message appeared.
  5. Confirm that the correct Gallery item was changed.
  6. Confirm that the correct VCard was opened.

14.71 Gallery Checklist

Before completing the Galleries section, confirm that:

  1. Every entry uses the correct Type.
  2. Categories are assigned correctly.
  3. Images use supported formats.
  4. YouTube links are complete and public.
  5. Documents open or download properly.
  6. Videos use compatible formats and acceptable file sizes.
  7. Audio uses MP3, WAV, or OGG.
  8. Filenames are clear.
  9. Confidential information is not publicly exposed.
  10. Outdated and duplicate media has been removed.
  11. Gallery is enabled in Manage Sections.
  12. Every entry has been tested.
  13. The complete Gallery has been reviewed on desktop and mobile.
