70.1 HR & Payroll Overview

AIUNIFY CRM includes an HR & Payroll module with permission-controlled operational workspaces for employee and payroll-related activity.

Access can be granted as broader viewing access or as View Own access, so the information available to one user can differ from the information available to another.

70.2 Confirmed Operational Areas

The HR & Payroll module registers separate operational capabilities for areas including:

  • Employees.
  • Attendance.
  • Commissions.
  • Deductions.
  • Bonus/KPI.
  • Insurance.
  • Payslips.
  • Reports.

70.3 Opening HR & Payroll

When one or more HR & Payroll operational capabilities are available to your account, the HR & Payroll menu can appear in the CRM navigation.

Only use the workspaces made available by your assigned permissions.

70.4 Manage Employees

The module provides a Manage Employees workspace when the signed-in user has Employee view or View Own access.

This area works with employee information used by HR and payroll operations. It is distinct from creating CRM login accounts or changing CRM access roles.

70.5 Employee Visibility

The Employee workflow supports permission-based visibility.

A user with broader Employee view access can work with the employee information made available under that permission. A user with View Own access can be limited to information appropriate to that user's own operational scope.

70.6 Reviewing Employee Information

When reviewing an Employee record, confirm that you are working with the correct person and reporting period before using the information in payroll-related activity.

Employee data can contribute to later workflows involving:

  • Attendance.
  • Commissions.
  • Deductions.
  • Bonus and KPI amounts.
  • Insurance.
  • Payslips.
  • Payroll reports.

70.7 Reporting Period Awareness

HR & Payroll operations frequently depend on a month or other payroll period.

Before reviewing or processing employee information, confirm the period displayed by the workspace. Using the wrong month can produce misleading conclusions even when the underlying employee information is correct.

70.8 Employee and Department Context

Payroll-related workflows can use employee and department information from the CRM environment.

Use department context to understand organizational placement when it is presented, but always verify the individual employee record before acting on pay-related information.

70.9 Integrated Data Sources

The HR & Payroll module can work with information from related HR or timesheet components when those integrations are active in the tenant environment.

When integrated information is present, review the source activity before correcting payroll results. A discrepancy may originate in Attendance, Timesheets, Commission data, or another underlying operational record.

70.10 Protecting Payroll Information

Employee and payroll data should be treated as restricted business information.

  • View only records required for your work.
  • Do not copy payroll information into unrelated CRM Notes.
  • Store downloaded payroll files securely.
  • Confirm recipients before sharing payroll-related documents.
  • Do not use another employee's record as a template for actual payroll data.

70.11 When Information Appears Missing

If an Employee or HR & Payroll area is not visible, consider whether your account has the applicable operational permission or View Own scope.

If an expected value is missing from a visible Employee record, review the applicable period and underlying operational source before assuming that the Employee record itself is incorrect.

70.12 Recommended Employee Review Workflow

  1. Open HR & Payroll.
  2. Open Manage Employees when available.
  3. Select the correct Employee.
  4. Confirm the applicable period.
  5. Review the employee information relevant to the payroll task.
  6. Open the corresponding Attendance, Commission, Deduction, Bonus/KPI, Insurance, or Payslip area when required.
  7. Verify source information before making a payroll-related change.
  8. Preserve sensitive payroll information appropriately.

70.13 Best Practices

  • Confirm Employee identity before reviewing payroll data.
  • Confirm the payroll period.
  • Respect View Own boundaries.
  • Review underlying operational records when totals are unexpected.
  • Protect employee financial information.
  • Keep payroll-related data connected to the correct Employee.
