63.1 Scheduled SMS Overview

AIUNIFY CRM supports scheduling SMS messages for future processing. Scheduled SMS operations have their own permission set for viewing, viewing your own records, creating, editing, and deleting.

This allows a tenant team to separate ordinary SMS sending from future-dated message activity.

63.2 Opening Scheduled SMS

When your account has the applicable access, open the SMS menu and select Schedule SMS.

The Scheduled SMS list provides operational information including the schedule date, recipient filter, message content, staff user, creation date, and whether the scheduled item has been executed.

63.3 Your Own Scheduled Messages

Users without global Scheduled SMS viewing permission can be restricted to Scheduled SMS records created by their own staff account.

If another user's scheduled record is not visible to you, this can be expected permission behavior rather than missing data.

63.4 Creating a Scheduled SMS

When your account has create permission:

  1. Open Schedule SMS.
  2. Select Add Scheduled SMS.
  3. Choose the intended recipient group or filter.
  4. Enter the SMS content.
  5. Select the intended Schedule Date and Time.
  6. Review the recipients and message.
  7. Save the scheduled record.
  8. Return to the Scheduled SMS list and verify it.

63.5 Recipient Filters

The Scheduled SMS table identifies recipient filtering such as Customers, Leads, and staff where the applicable access is available.

Choose the recipient type that corresponds to the communication purpose. Do not use a broader recipient group simply because it is easier to select.

63.6 Schedule Date and Time

The scheduled record stores the intended future execution time.

Review the date and time carefully before saving. Consider the recipient's expected business context and whether the message will still be accurate when the scheduled time arrives.

63.7 Executed Status

The Scheduled SMS list records whether a scheduled message has been executed.

Use this status to distinguish pending future messages from records that have already been processed.

63.8 Editing an Unexecuted Schedule

When you have edit permission, the list exposes editing for scheduled messages that have not yet executed.

  1. Open the scheduled record.
  2. Verify that it has not executed.
  3. Correct the recipient filter, message, or schedule information as needed.
  4. Save the change.
  5. Verify the updated record in the list.

Do not assume that editing a record after it has already executed will recall a message that was previously sent.

63.9 Deleting a Scheduled SMS

Deletion is permission-controlled.

Before deleting a scheduled record, confirm that the message is no longer required and that another scheduled item is not intended to replace it.

63.10 Automated Processing

The module includes a scheduled processing routine that handles eligible Scheduled SMS records.

Users are responsible for creating accurate schedule records; the future execution mechanism processes those records according to the stored schedule and available recipient telephone information.

63.11 Phone Number Readiness

A scheduled message can only be useful when the intended recipients have appropriate telephone information when the message is processed.

Review source CRM records before scheduling important campaigns or follow-up messages.

63.12 Recommended Workflow

  1. Determine why future delivery is needed.
  2. Select the correct recipient group.
  3. Write or select accurate SMS content.
  4. Choose the correct date and time.
  5. Save the schedule.
  6. Verify it in the Scheduled SMS list.
  7. Edit it before execution if legitimate changes are required.
  8. Review Executed status after the scheduled time.

63.13 Best Practices

  • Schedule only messages that should be sent later.
  • Verify the date and time.
  • Review recipient telephone information.
  • Keep scheduled content accurate through the future delivery time.
  • Review pending records regularly.
  • Do not duplicate a schedule unless multiple sends are intentional.
