58.1 Surveys Overview

AIUNIFY CRM includes a Surveys module for creating surveys, adding questions, selecting recipients, distributing surveys, and reviewing participation results.

Survey actions are permission-controlled. View, create, edit, and delete operations depend on the permissions assigned to the signed-in user.

58.2 Creating a Survey

Users with Survey creation permission can create a Survey.

  1. Open Surveys.
  2. Select the action to add a new Survey.
  3. Enter the Survey Subject.
  4. Complete the Survey Description fields presented by the form.
  5. Save the Survey.
  6. Open the saved Survey.
  7. Add the questions needed for the Survey.
  8. Review the Survey before selecting recipients.

58.3 Survey Subject and Description

The Subject identifies the Survey in the CRM and to intended participants where applicable.

Use the Description to explain the purpose of the Survey and any instructions participants need before answering.

58.4 Adding Questions

The Survey workflow supports adding and managing Survey questions.

Create questions that directly support the information you need to collect. Keep wording clear and avoid combining unrelated questions into one prompt when separate questions would produce clearer answers.

58.5 Editing Survey Questions

Survey question changes require the applicable Survey edit permission.

Review existing responses before materially changing a question on a Survey that has already been distributed. Changing the meaning of a question after responses exist can make the result set difficult to interpret.

58.6 Recipient Lists

The Surveys module supports recipient-selection workflows including Customers and mailing lists.

Available Survey language includes Customer recipient lists, Client Mail Lists, and imported email lists.

58.7 Importing Email Recipients

The Survey workflow supports importing email addresses from an Excel-compatible import file into a mailing list.

Before importing:

  • Review the email list for accuracy.
  • Remove addresses that should not receive the Survey.
  • Use the intended mailing list.
  • Keep imported recipient information appropriate to the Survey purpose.

58.8 Selecting Recipients

Select recipients according to the audience that should answer the Survey.

Depending on the Survey workflow available to you, recipient choices can include Customer-oriented lists and other saved mailing lists.

Review the selected audience before sending because a Survey send can queue communication to multiple recipients.

58.9 Sending a Survey

  1. Open the Survey.
  2. Review the Subject and Description.
  3. Review all questions.
  4. Open the Survey sending area.
  5. Select the intended recipient list or lists.
  6. Review any participant-access options shown by the workflow.
  7. Confirm the recipient selection.
  8. Start the Survey send.
  9. Review the resulting send information.

58.10 Survey Send Log

The Survey record loads its send log so users can review distribution activity associated with the Survey.

Use the send history to understand whether the Survey has already been distributed and to avoid unnecessary duplicate sends.

58.11 Removing a Survey Send Record

The Survey workflow contains a permission-controlled operation for removing a Survey send record.

Use destructive operations cautiously. Removing a send-history record does not change the fact that recipients may already have received the Survey communication.

58.12 Reviewing Survey Results

The Surveys module includes a Results view for Survey participation.

  1. Open the Survey.
  2. Select the Results area.
  3. Review the Survey Subject and result set.
  4. Compare responses with the original questions.
  5. Use the results for the intended business analysis or follow-up.

58.13 Deleting a Survey

Survey deletion requires delete permission.

Before deleting, consider the Survey's questions, send history, and participation results. Preserve business information that may be needed for later analysis.

  1. Define what information is needed.
  2. Create the Survey.
  3. Add focused questions.
  4. Review the Survey.
  5. Prepare the correct recipient list.
  6. Send the Survey.
  7. Review the send log.
