55.1 Calendar Overview

AIUNIFY CRM provides a Calendar utility for reviewing date-based CRM activity and working with Calendar Events.

The CRM language and Calendar workflow identify several kinds of date-related information, including Events, Tasks, Estimates, Invoices, Contracts, and Customer Reminders.

55.2 Opening the Calendar

  1. Open Utilities.
  2. Select Calendar.
  3. Navigate to the date range you need to review.
  4. Review the Calendar items displayed for that period.

55.3 Calendar Information

The Calendar brings scheduled or dated CRM information into a common chronological view.

Depending on your permissions, CRM records, and available features, the Calendar may help you review:

  • Calendar Events.
  • Tasks.
  • Estimates.
  • Invoices.
  • Contracts.
  • Customer Reminders.

55.4 Calendar Events

Calendar Events are event records created directly for scheduling purposes.

The CRM includes an Event Quick Action and supports adding or updating Event information through the Calendar workflow.

55.5 Creating an Event

  1. Open the Calendar or use the available Calendar Event Quick Action.
  2. Start a new Event.
  3. Enter a clear Event title.
  4. Complete the date/time information shown by the Event form.
  5. Complete any other operational Event information applicable to the event.
  6. Review the entry.
  7. Save it.
  8. Return to the Calendar and verify that the Event appears on the intended date.

55.6 Editing an Event

Open the existing Event when its timing or other operational information changes.

Update the existing Event when it remains the same business event instead of creating another Event and leaving the outdated one on the Calendar.

55.7 Reviewing Related CRM Items

When a Calendar item represents another CRM record, use the Calendar as the scheduling view and the underlying CRM record as the primary business record.

For example, update an Invoice in the Invoice workflow, a Task in Tasks, or a Contract in Contracts rather than attempting to use the Calendar as a replacement for that record's normal workflow.

55.8 Date Range Navigation

The Calendar retrieves activity for the date range being viewed.

Move between calendar periods to review upcoming and past items. Use this to identify approaching deadlines, scheduled follow-up, or records whose date-based activity requires attention.

55.9 Customer Reminders

Customer Reminders can contribute date-based information to the Calendar.

When a reminder appears, open the appropriate underlying CRM context to complete the required follow-up and update the related record when necessary.

55.10 Tasks on the Calendar

Task dates can make Task activity relevant to Calendar review.

Use Calendar visibility to identify upcoming Task work, then open the Task for status, assignment, checklist, time, and collaboration actions.

55.11 Financial Dates

Estimates and Invoices can also appear as date-oriented CRM information.

Use the Calendar for awareness, but make transaction changes within the appropriate Sales record so financial history remains correct.

55.12 Recommended Daily Calendar Review

  1. Open the Calendar.
  2. Review today's items.
  3. Review upcoming Events and Tasks.
  4. Review dated Customer follow-up.
  5. Open important underlying records.
  6. Complete or reschedule legitimate Event activity as needed.
  7. Review the next several days for approaching commitments.

55.13 Best Practices

  • Use clear Event titles.
  • Keep Event dates accurate.
  • Update the existing Event instead of creating duplicates.
  • Use the Calendar as a scheduling view, not a replacement for underlying records.
  • Review upcoming dates regularly.
  • Open the related CRM record before making record-specific changes.
