49.1 Advanced Task Operations

AIUNIFY CRM includes list, filter, bulk, Kanban, Gantt, and status-oriented tools for managing larger Task workloads.

These functions remain subject to Task permissions and record-level access.

49.2 Selecting Tasks for Bulk Work

The Task table includes a bulk-selection column.

Before applying a bulk action, use filters to narrow the Task population and select only the records that should receive the same operation.

49.3 Bulk Action Safety

A bulk operation can modify several Task records at once.

Before confirming:

  • Review every selected Task.
  • Confirm they need the same change.
  • Review the new Status or other selected value.
  • Confirm that no unrelated Project or Customer Tasks were selected accidentally.

49.4 Status Changes

Tasks can move through the Task statuses available in the CRM.

Status should reflect actual work progress.

Do not mark Tasks complete solely to remove them from a report, Dashboard, or workload view.

49.5 Completing Tasks

Before marking a Task complete:

  1. Confirm the work is actually finished.
  2. Review outstanding Checklist Items.
  3. Review unresolved Comments.
  4. Stop any Timer still running.
  5. Review billable time when applicable.
  6. Change the Task to the appropriate completed status.

49.6 Reopening or Changing Task Status

If additional work becomes necessary, use the normal status workflow available to your account to move the Task into the appropriate active state.

Preserve the existing Task when the new work is truly a continuation of the same Task rather than creating a duplicate solely because the status changed.

49.7 Task Gantt

Gantt views provide a time-oriented representation of Tasks based on their scheduling information.

Use Gantt to review:

  • Start Dates.
  • Due Dates.
  • Overlapping work.
  • Project timing.
  • Work that may be late or scheduled incorrectly.

49.8 Task Kanban

Kanban provides a status-oriented view of Tasks.

Use Kanban when you need to see the workload grouped visually by current Task state.

49.9 Task Filters

The Task filtering system includes operational criteria such as:

  • Assignment.
  • Status-related information.
  • Priority-related information.
  • Billable state when permitted.
  • Billed state when permitted.
  • Other available Task table rules.

Use filtering before bulk actions to reduce accidental record selection.

49.10 Related Tasks

Tasks associated with another CRM record can also appear in related-Task tables.

The same Task permission principles apply whether you opened the Task from the global Tasks workspace or from a related Customer, Project, Invoice, Contract, Ticket, Expense, Lead, Proposal, or Estimate.

49.11 Deleting Tasks

Task deletion requires Task delete permission.

Before deletion, review:

  • Related CRM record.
  • Comments.
  • Attachments.
  • Checklist history.
  • Timer/Timesheet information.
  • Billing status.

Do not delete completed work merely to clean up the active Task list.

49.12 Advanced Task Review Workflow

  1. Open Tasks.
  2. Apply relevant filters.
  3. Switch to List, Kanban, or Gantt according to what you need to review.
  4. Open individual Tasks requiring investigation.
  5. Make individual corrections before bulk processing when necessary.
  6. Select Tasks for a common bulk action.
  7. Review the selection.
  8. Apply the operation.
  9. Refresh the Task view.
  10. Verify representative Tasks afterward.

49.13 Best Practices

  • Filter before selecting Tasks in bulk.
  • Use accurate statuses.
  • Stop Timers before completion when work has ended.
  • Use Gantt for timing review.
  • Use Kanban for status review.
  • Preserve completed Task history.
  • Verify representative records after every bulk change.
