46.1 Creating a Task

Users with Task creation permission can create Tasks through the Tasks workspace or the Task Quick Action.

Tasks can also be created from certain related CRM records when the relationship-specific Task function is available.

46.2 Task Name

Give each Task a clear Name that describes the work to be completed.

A useful Task Name should make sense in lists, Kanban, Gantt, notifications, and related-record views without requiring the user to open the Task first.

46.3 Description

Use the Task Description for the instructions or context needed to complete the work.

Avoid placing important dates, assignment, or priority information only in the Description when dedicated Task fields are available.

46.4 Start and Due Dates

Set the Start Date and Due Date according to the expected work period.

These dates affect operational scheduling and can also matter in Project billing and deadline reminder workflows.

46.5 Task Relations

The Task form supports relationships with multiple CRM record types.

Confirmed relationship choices include:

  • Project.
  • Invoice.
  • Customer.
  • Estimate.
  • Contract.
  • Ticket.
  • Expense.
  • Lead.
  • Proposal.

46.6 Selecting the Related Record

After choosing the relationship type, select the actual related record.

For example, choosing Project is not enough—the Task should be associated with the specific Project that the work belongs to.

46.7 Assignees

Assignees are the staff users responsible for performing the Task.

Assign the people who are expected to do the work rather than everyone who merely needs awareness of it.

46.8 Followers

Followers allow applicable users to follow the Task without necessarily being responsible for completing it.

Use Followers for users who need awareness of Task activity or collaboration but are not Task Assignees.

46.9 Assignees vs. Followers

Assignee Responsible for performing the Task.
Follower Follows Task activity without necessarily being responsible for completion.

46.10 Priority

Select the Priority that reflects the Task's actual urgency.

Priority appears in Task list information and helps authorized users organize work.

46.11 Billable Tasks

When a Task belongs to a billing workflow, it can contain billable information and an applicable hourly rate.

Set Task billing information carefully because Timer/Timesheet activity can later contribute to Project invoicing.

46.12 Milestone Relationship

Project Tasks can be associated with a Project Milestone.

Select the Milestone when the Task belongs to a specific Project stage.

46.13 Creating the Task

  1. Select the Task creation action.
  2. Enter the Task Name.
  3. Enter the Description.
  4. Set Start and Due Dates.
  5. Select the Priority.
  6. Select the relationship type when applicable.
  7. Select the related CRM record.
  8. Select Assignees.
  9. Select Followers where appropriate.
  10. Review billable information when applicable.
  11. Select the applicable Milestone for Project Tasks.
  12. Save the Task.
  13. Open the saved Task and verify it.

46.14 Editing a Task

When your account has Task editing permission, modify the existing Task if the work itself remains the same Task.

Before changing relationships or billing information, review existing comments, logged time, and Project financial history.

46.15 Best Practices

  • Use clear Task Names.
  • Use the correct related CRM record.
  • Assign only responsible users.
  • Use Followers for awareness rather than assignment.
  • Keep dates and Priority accurate.
  • Review billable settings before logging significant time.
  • Edit existing Tasks instead of creating duplicates for the same work.
