38.1 Contract Lifecycle Operations

AIUNIFY CRM provides operational tools around an existing Contract for customer review, signing, comments, attachments, renewal, copying, email, and PDF output.

The exact actions available depend on Contract permissions and the Contract's current state.

38.2 Viewing the Customer-Facing Contract

The Contract preview includes a public Contract link used for the supported customer-facing Contract experience.

Review the Contract content before directing the Customer to that experience.

38.3 Customer Signing

The customer-facing Contract workflow includes identity confirmation associated with Contract signing.

Once a Contract has been signed, its signature and acceptance information form part of the Contract history.

Treat signed information as significant agreement data rather than ordinary editable text.

38.4 Mark as Signed

When a Contract has not already been signed or marked as signed and your user account has edit permission, the CRM can provide a Mark as Signed action.

Use it only when your organization's actual Contract process justifies recording the agreement as signed outside the normal customer-signature workflow.

38.5 Unmark as Signed

When the Contract was manually marked as signed rather than signed through the customer-signature workflow, an authorized user can be presented with an Unmark action.

Correct signing status only when the recorded status is genuinely wrong.

38.6 Contract Comments

The Contract workflow supports comments associated with the agreement.

Comments can be used to maintain conversation or clarification around the Contract where the workflow permits it.

A staff user can remove their own Contract comment through the supported comment action. Keep useful Contract discussion intact when it forms part of the agreement history.

38.7 Contract Attachments

Where Contract attachments are available, attach files that belong to the agreement or its supporting documentation.

Before sharing or sending the Contract, review attachments for the correct Customer and Contract.

38.8 Sending a Contract by Email

The Contract preview includes a send-to-Customer email workflow.

  1. Open the correct Contract.
  2. Review the Customer.
  3. Review the agreement content.
  4. Review signed status.
  5. Review the intended recipient information.
  6. Review the email message.
  7. Send the Contract.

38.9 Contract PDF

AIUNIFY CRM provides Contract PDF actions that can include:

  • Viewing the PDF.
  • Opening the PDF in a new window.
  • Downloading the PDF.
  • Printing the Contract document.

Review the PDF before using it as an external representation of the agreement.

38.10 Renewing a Contract

Users with Contract edit permission can use the supported Contract Renewal workflow.

The renewal form can request:

  • New Start Date.
  • New End Date.
  • New Contract Value.

When the existing Contract is signed, the renewal workflow can also present an option to keep the signature.

38.11 Review Before Renewal

  1. Open the existing Contract.
  2. Review the original Start Date.
  3. Review the current End Date.
  4. Review current Contract Value.
  5. Review signed status.
  6. Review earlier renewal history.
  7. Enter the new approved dates.
  8. Enter the new approved value where applicable.
  9. Choose signature handling only when appropriate.
  10. Submit the renewal.
  11. Review the renewal history afterward.

38.12 Copying a Contract

Users with Contract creation permission can directly copy an existing Contract.

The copy becomes a new Contract rather than an extension of the original Contract.

The CRM deliberately resets signing and acceptance information on the copied Contract. A copied agreement must therefore be reviewed and processed as its own Contract.

38.13 Review a Copied Contract

After copying:

  • Verify the Customer.
  • Verify the Subject.
  • Review Start and End Dates.
  • Review Contract Value.
  • Review Contract content.
  • Confirm that old signature/acceptance information is not being treated as approval of the new Contract.
  • Review the final agreement before sending.

38.14 Renewal vs. Copy

Renewal Use when extending or renewing the existing Contract through the supported renewal history.
Copy Use when creating a separate new Contract based on the structure of an existing one.

38.15 Best Practices

  • Confirm signing status before changing the Contract.
  • Preserve meaningful comments and agreement history.
  • Attach only Contract-related files.
  • Verify email recipients.
  • Review PDFs before distribution.
  • Use Renewal for a true renewal.
  • Use Copy for a genuinely separate agreement.
  • Review every copied Contract as unsigned new work.
