37.1 Contracts in AIUNIFY CRM

The Contracts workspace manages Customer agreements and their associated operational history.

Contract visibility is permission-controlled. Users can have access to all permitted Contracts or only Contracts within their allowed scope.

37.2 Contracts on the Dashboard

When Contract access is available, the Dashboard can surface Contracts that are approaching expiration.

Use an expiring-Contract alert as a prompt to open the Contract itself and review the real agreement status and required next action.

37.3 Starting a Contract

When your account has Contract creation permission, you can begin from the Contracts workspace or the Contract Quick Action.

Before creating a new Contract:

  1. Open the Customer.
  2. Review existing Contracts.
  3. Confirm that the agreement is not already represented.
  4. Gather the approved agreement details.
  5. Create a new Contract only when a distinct agreement is required.

37.4 Customer Relationship

Associate the Contract with the correct Customer.

This relationship allows the Contract to participate in Customer history and customer-facing Contract workflows where those functions are available.

37.5 Contract Subject

Use a clear Subject that identifies the agreement.

The Subject should distinguish the Contract from other agreements for the same Customer without requiring a user to open every Contract to understand what it covers.

37.6 Contract Type

Select an existing Contract Type when one is appropriate and presented by the CRM.

This manual covers selecting Contract information during normal operation, not maintaining organization-wide Contract Type configuration.

37.7 Start and End Dates

Review the Contract Start Date and End Date carefully.

The end date is especially important because the CRM can use it when surfacing expiring Contracts and during renewal workflows.

37.8 Contract Value

Where a Contract Value is used, enter the approved amount applicable to the agreement.

Do not use the Contract Value field as an informal note or estimate if the actual agreement specifies another value.

37.9 Contract Content

The Contract contains the agreement content that will be reviewed internally and, where applicable, by the Customer.

Review the complete content before sending or signing activity begins.

37.10 Creating the Contract

  1. Select the correct Customer.
  2. Enter a clear Subject.
  3. Select the applicable existing Contract Type.
  4. Review Start and End Dates.
  5. Enter the appropriate Contract Value when used.
  6. Prepare or review the Contract content.
  7. Complete other operational fields shown to your account.
  8. Save the Contract.
  9. Open the saved Contract and review it.

37.11 Editing a Contract

When your account has Contract edit permission, edit the existing agreement when correcting that same Contract.

Take additional care if the Contract has already been sent, signed, marked as signed, commented on, or renewed because those actions form part of its history.

37.12 Related Tasks and Notes

The Contract view can include related Tasks and Contract Notes.

Use related Tasks for operational work connected to the agreement and Notes for internal Contract context where those actions are available to your account.

37.13 Expiration Review

For a Contract approaching its End Date:

  1. Open the Contract.
  2. Review the Customer.
  3. Review the original Start and End Dates.
  4. Review Contract Value.
  5. Review signed status.
  6. Review existing renewal history.
  7. Determine whether the agreement should end, be replaced, or use the supported renewal workflow.

37.14 Contract Data Best Practices

  • Search existing Customer Contracts first.
  • Use clear Subjects.
  • Use accurate agreement dates.
  • Preserve the approved Contract content.
  • Keep agreement-related Tasks and Notes connected to the Contract.
  • Review expiring Contracts before their End Date.
  • Do not create duplicates to represent a simple correction.
