34.1 Subscriptions in AIUNIFY CRM

The Subscriptions workspace manages recurring Customer subscription relationships supported by the CRM's connected recurring-billing workflow.

Subscription access is permission-controlled. Your account may have view, view-own, create, or edit capabilities depending on its assigned operational permissions.

34.2 Starting a Subscription

When Subscription creation is available to your account, you can begin from the Subscriptions workspace or use the Subscription Quick Action.

Before creating one:

  1. Open the Customer.
  2. Review existing Customer Subscriptions.
  3. Confirm that the intended Subscription does not already exist.
  4. Confirm the correct billing plan or recurring offer.
  5. Create a new Subscription only when a separate recurring relationship is required.

34.3 Customer Relationship

Associate the Subscription with the correct Customer. When the workflow is started in Customer context, the CRM can carry the Customer relationship into the Subscription form.

The Customer relationship is used for subscription communication and related recurring billing activity.

34.4 Billing Plan

The Subscription form uses the billing plans available through the CRM's connected subscription service.

Select the correct existing plan for the Customer. Do not substitute another plan merely because the intended plan is unavailable.

If required plans or subscription services are unavailable, contact your organization's designated system support rather than attempting platform configuration from the User Operations workflow.

34.5 Taxes and Currency

The Subscription workflow loads applicable existing taxes and currencies made available to the tenant.

Review the Currency and applicable tax selections before saving the Subscription.

34.6 Subscription Information

Depending on the active billing workflow, the Subscription record can include information such as:

  • Subscription Name.
  • Description.
  • Customer.
  • Billing Plan.
  • Currency.
  • Applicable tax selections.
  • Recurring billing status.

Complete only transaction-specific fields exposed to your user role.

34.7 Saving the Subscription

  1. Choose the correct Customer.
  2. Select the intended Billing Plan.
  3. Review the Name and Description.
  4. Review Currency.
  5. Review applicable taxes.
  6. Save the Subscription.
  7. Open the saved Subscription.
  8. Verify its status before communicating it to the Customer.

34.8 Subscription Status

The CRM recognizes recurring-billing states that can include:

  • Future.
  • Active.
  • Past Due.
  • Canceled.
  • Unpaid.

Use the status displayed by the CRM to understand the recurring relationship rather than manually treating a Customer as active based only on an earlier email or conversation.

34.9 Sending a Subscription to the Customer

Authorized users can send a Subscription through the CRM's Subscription email workflow.

The Subscription workflow is designed to communicate with the applicable Customer Contact relationship.

Before sending, verify the Customer, plan, Currency, recurring terms, and current Subscription status.

34.10 Upcoming and Child Invoices

The Subscription view can display billing information such as an upcoming Invoice and child Invoices created from the recurring relationship.

Review these related Invoices before manually creating another billing record for the same recurring period.

34.11 Cancel Immediately

When your account has Subscription editing permission and the recurring service supports the action, the CRM can cancel a Subscription immediately.

Immediate cancellation changes the recurring relationship at once. Confirm the Customer and Subscription before using it.

34.12 Cancel at End of Billing Period

The CRM also supports cancellation at the end of the current billing period where the connected subscription workflow permits it.

This option allows the Subscription to reach the end of the applicable current period before cancellation takes effect.

34.13 Review Before Cancellation

  1. Open the correct Subscription.
  2. Review Customer and plan.
  3. Review current status.
  4. Review upcoming billing information.
  5. Determine whether cancellation should be immediate or at period end.
  6. Confirm the intended action.
  7. Review the updated Subscription afterward.

34.14 Integration Availability

Subscription actions depend on the recurring-billing connection available to the CRM environment.

If the CRM reports that required billing connectivity is unavailable, stop the transaction and contact the appropriate system support resource. User Operations should not attempt to repair provider credentials or system-wide billing configuration.

34.15 Subscription Best Practices

  • Search for an existing Subscription first.
  • Use the correct Customer and plan.
  • Verify Currency and recurring terms.
  • Review child Invoices before manual billing.
  • Choose cancellation timing carefully.
  • Verify Subscription status after every lifecycle action.
