A Proposal allows an authorized AIUNIFY CRM user to prepare a commercial offer for a prospective or established relationship.
The Proposal workflow can be used with a Lead or with a Customer, depending on the relationship selected in the Proposal form and the access available to your user account.
When Proposal creation is available to your account, you can begin from the Proposals workspace or use the Proposal Quick Action.
Before creating a new Proposal, search existing Proposals and review the related Lead or Customer so that you do not create a duplicate offer unnecessarily.
The Proposal form supports a relationship between the Proposal and the party receiving it.
Depending on the workflow presented by AIUNIFY CRM, the Proposal can be associated with a:
Select the correct record carefully. The relationship affects the context in which the Proposal is stored and can affect later conversion workflows.
When a Proposal is associated with a Customer, the interface can provide a Project selection when applicable.
Use the Project relationship only when the Proposal belongs to that specific Project. Do not select a Project merely because it belongs to the same Customer.
The Proposal form contains a Proposal Date and an Open Till date.
The Open Till value represents the date through which the Proposal is intended to remain open under the normal Proposal workflow.
Before saving, verify both dates because they may appear in customer-facing Proposal information and affect how the offer is interpreted.
The Proposal includes a Currency selection.
When the Proposal is related to a Customer, AIUNIFY CRM can use the Customer's applicable currency and restrict changing it directly from the Proposal.
Select only from the currencies made available in your tenant. Currency configuration itself is outside normal User Operations.
Use the Proposal item area to describe what is being offered.
Depending on the available transaction fields, Proposal lines can include information such as:
Review each line before saving. The Proposal total should represent what you actually intend to offer.
The Proposal workflow supports transaction-level discount controls, including the available discount type, and can contain an adjustment when presented by the form.
Apply discounts only when they are authorized and verify whether the selected discount is being applied before or after tax where that option is shown.
Proposal records can contain assignment and classification information where those fields are presented.
Use the assigned user to reflect responsibility for the Proposal and use existing Tags consistently when your organization uses them for operational classification.
When your account has Proposal editing access, open the existing Proposal rather than creating another record for the same offer.
Review changes carefully if the Proposal has already been communicated externally. Changing items, pricing, dates, discounts, or the related party can materially change the offer.
