19.1 When a Lead Becomes a Customer

AIUNIFY CRM provides a dedicated workflow for converting a qualified Lead into a Customer relationship.

Use conversion when the prospect has progressed beyond the Lead stage and should now be represented by the CRM's Customer and Contact structure.

19.2 Review the Lead Before Conversion

Before converting, open the Lead and review its information.

Confirm important information such as:

  • Lead name.
  • Email address.
  • Phone number.
  • Company.
  • Position/title.
  • Address information.
  • Website.
  • Notes and other relevant context.

19.3 Search for an Existing Customer or Contact

Before conversion, check whether the person or company already exists as a Customer or Contact.

The Lead Profile contains logic that detects situations where a Contact already uses the Lead's email address. This helps prevent a conversion workflow from silently creating conflicting relationship information.

Important: If the CRM warns that the Lead's email already exists, investigate the existing Contact before creating another Customer relationship.

19.4 Opening Convert to Customer

When the conversion action is available to your authenticated user, open the Lead and choose Convert to Customer.

The conversion workflow prepares the Lead information for creation of the Customer relationship.

19.5 Review Customer and Contact Information

Conversion is the point where prospect information begins serving as established Customer information.

Review all mapped Customer and Contact fields rather than simply accepting old Lead information without verification.

Correct outdated company, address, phone, position, or email information before completing the conversion where the conversion form allows the change.

19.6 Field Mapping and Merging

The CRM conversion workflow supports mapping/merging Lead information into the resulting Customer and Contact information.

Use the fields provided by the conversion screen. Do not manually create a Customer first and then separately mark the Lead converted unless your organization's workflow specifically requires a separate process.

19.7 Transferring Lead Notes

The conversion workflow supports transferring Lead Notes when that option is selected.

Use note transfer when the existing Lead Notes remain relevant to the new Customer relationship.

If a Lead Note is obsolete or prospect-only information that should not become part of the Customer relationship, review it before deciding whether it should be carried forward.

19.8 Transferring Consent Information

When the deployed tenant uses contact-consent functionality, the conversion process can provide an option to transfer applicable Lead consent information into the Customer/Contact relationship.

This is an operational transfer option. Configuration of consent purposes and privacy settings is outside this User Operations Manual.

19.9 Completing the Conversion

  1. Open the qualified Lead.
  2. Review Lead information and history.
  3. Search for an existing Customer or Contact.
  4. Select Convert to Customer.
  5. Review Customer/company information.
  6. Review Contact information.
  7. Review supported field mappings.
  8. Select Note transfer when appropriate.
  9. Select consent transfer only when applicable to your organization's workflow.
  10. Complete the conversion.
  11. Open the resulting Customer.
  12. Verify the Customer and Contact information.

19.10 What Happens to the Lead Relationship

After successful conversion, the CRM recognizes that the Lead has progressed into a Customer relationship.

The Lead should no longer be treated as an ordinary unconverted prospect for future workflow decisions.

19.11 Continue Work from the Customer

After conversion, use the resulting Customer as the primary relationship record for established Customer operations.

Future Proposals, Estimates, Invoices, Contracts, Projects, Tasks, Tickets, and other applicable records should be associated with the correct Customer rather than creating another Lead for the same established relationship.

19.12 Avoid Duplicate Conversion

Do not create a second Customer merely because the Lead remains searchable in CRM history.

Always confirm whether the Lead has already been converted and whether a Customer/Contact already exists.

19.13 Post-Conversion Verification

After conversion, verify:

  • The correct Customer was created or associated.
  • The correct Contact exists under the Customer.
  • Important email and phone information is accurate.
  • Transferred Notes appear when selected.
  • The previous Lead is recognized as converted.
  • New business activity is being created against the Customer rather than a duplicate Lead.
