18.1 Working with Larger Lead Volumes

AIUNIFY CRM includes tools for searching, importing, and bulk-managing Leads so that users do not have to process every record individually.

These tools should be used carefully because a bulk change can affect many prospects at once.

18.2 Searching Leads

Use the available Lead search controls to locate a prospect before creating a duplicate or performing a bulk operation.

The Kanban workflow also supports search, allowing you to narrow Lead cards across status columns.

18.3 Lead Import

The CRM contains a Lead import workflow for authorized staff users.

The confirmed import interface requires a CSV file and provides both Import and Simulate Import actions.

18.4 Required Import Selections

The Lead import form requires an existing:

  • Source
  • Status

These values act as the applicable import selections/fallbacks for the imported Leads.

The form also provides a Responsible/Assignee selection.

18.5 Preparing the Lead CSV

Before uploading a Lead file:

  1. Confirm that the file is CSV format.
  2. Remove obviously duplicated rows.
  3. Review names, email addresses, phone numbers, and company information.
  4. Confirm that the intended existing Source is available.
  5. Confirm that the intended existing Status is available.
  6. Decide whether the imported Leads should be assigned to a responsible user.

18.6 Simulate Before Importing

Use Simulate Import before committing a large Lead file whenever practical.

Simulation allows you to identify structural or validation problems before creating the live Lead records.

18.7 Performing the Lead Import

  1. Open the Lead import workflow.
  2. Select the CSV file.
  3. Select the existing Source.
  4. Select the existing Status.
  5. Select a Responsible user when appropriate.
  6. Run Simulate Import.
  7. Correct problems if necessary.
  8. Return with the corrected CSV.
  9. Select Import.
  10. Review the resulting Lead records.

18.8 Validate the Imported Leads

After the import completes, search for several imported Leads and verify:

  • Identity information.
  • Email and phone information.
  • Company information.
  • Source.
  • Status.
  • Assignment.

A successful file submission does not replace post-import data-quality review.

18.9 Exporting Lead Information

Use Lead export controls only when they are actually presented to your account in the deployed interface.

Export availability and scope can depend on the view and the permissions available to the signed-in user.

After downloading Lead information, open the file and verify that the expected records and fields are included rather than assuming that every on-screen filter automatically changed the export scope.

18.10 Lead Bulk Actions

The Leads workspace supports bulk operations on selected Lead IDs.

Confirmed bulk-update areas include:

  • Status.
  • Source.
  • Assigned user.
  • Visibility.
  • Tags.
  • Last-contact information.
  • Lost state.

18.11 Performing a Bulk Update

  1. Search or filter the Lead population.
  2. Select only the Leads that should receive the same change.
  3. Open Bulk Actions.
  4. Select the intended field or state change.
  5. Review the selected Leads again.
  6. Confirm the operation.
  7. Refresh the Lead list.
  8. Open sample records and verify the result.

18.12 Mass Delete

Mass deletion is available only when the user has Lead delete permission.

Destructive action: A mass delete can permanently remove multiple Lead records through the normal application workflow. Confirm record-retention requirements and the selection before proceeding.

18.13 Do Not Mix Unrelated Leads in One Bulk Change

A bulk action applies the same selected change across multiple Leads.

If the selected Leads require different Sources, Statuses, assignments, or Tags, divide them into the correct groups before applying the changes.

18.14 Lead Data-Management Best Practices

  • Search before creating or importing.
  • Simulate imports first.
  • Use accurate Source and Status selections.
  • Verify imported records.
  • Confirm export contents after downloading.
  • Review selected IDs before bulk updates.
  • Use Mass Delete only when removal is intentional and permitted.
  • Verify representative records after every large bulk operation.
