13.1 Finding Existing Customers

Use the Customers workspace to find existing Customer records before creating new ones or performing bulk operations.

Search and filter the Customer list using the controls available in your interface. The deployed CRM includes Customer filtering capabilities for information such as existing Customer Groups, Customers assigned to the signed-in user, and registration-confirmation state.

13.2 Using My Customers

The Customer filtering system includes a My Customers concept based on Customer assignment.

Use this filter when you need to focus on Customers assigned to you instead of the broader Customer population your account may be permitted to view.

13.3 Filtering by Existing Customer Groups

If your organization already uses Customer Groups, the Customer list can be filtered using those existing groups.

This manual covers using existing group assignments as part of Customer operations. Creation or configuration of the Customer Group structure itself is outside normal User Operations scope.

13.4 Customer Import Access

AIUNIFY CRM contains a Customer import workflow for users who have the required Customer creation access.

Use import when you need to create multiple Customer records from prepared structured data rather than entering each Customer individually.

13.5 Preparing the Customer CSV

The Customer import workflow accepts a CSV file.

Use the sample file or import guidance presented by the CRM as the reference for the expected structure. Do not assume that a spreadsheet from another system already matches the fields expected by AIUNIFY CRM.

Before importing:

  • Remove obvious duplicate Customer rows.
  • Check company names and contact information.
  • Normalize important address information.
  • Confirm the file is saved in CSV format.
  • Review any custom fields available in the import interface.

13.6 Simulate the Import First

The Customer import screen provides both Import and Simulate Import actions.

Use Simulate Import before a large production import whenever practical. Simulation allows you to test the prepared file against the CRM's import expectations before committing the records.

13.7 Performing the Customer Import

  1. Open the permitted Customer import workflow.
  2. Review the sample/import guidance.
  3. Select the prepared CSV file.
  4. Complete any additional import options shown by the CRM.
  5. Run Simulate Import first.
  6. Correct problems identified by the simulation.
  7. Return with the corrected file.
  8. Select Import.
  9. Allow the operation to finish.
  10. Review the resulting Customer records.

13.8 Validate Imported Customers

After an import, do not rely only on a success message.

Search for several imported Customers and verify that important information appears in the intended fields. Pay particular attention to company identity, addresses, contact information, and any custom fields used during import.

13.9 Export Availability

Export controls can vary according to the Customer view, your permissions, and the type of information being exported.

Use only the export controls actually presented in your tenant interface. Do not assume that every Customer table filter automatically changes the scope of every downloadable document or export.

13.10 Confirmed Customer-Related Document Outputs

The CRM provides Customer-related output workflows such as:

  • Customer Statement printing.
  • Customer Statement PDF output.
  • Sending the Customer Statement by email.
  • Bulk PDF/ZIP export functionality for supported financial document types such as Invoices, Estimates, Credit Notes, Payments, and Proposals when your account can access those records.

After downloading an output, open it and verify that it contains the intended Customer and time period or transaction scope.

13.11 Customer Bulk Actions

The Customer workspace includes bulk-action processing for selected Customer records.

Bulk operations affect more than one Customer at a time. Before confirming an operation, review the selected rows carefully.

13.12 Applying Existing Groups in Bulk

The Customer bulk workflow can synchronize selected Customers with existing Customer Groups.

Use this only when the same group assignment is appropriate for every selected Customer.

Do not use a broad selection merely for convenience if different Customers require different classifications.

13.13 Mass Delete

Customer bulk actions can include mass deletion when the user has the required permission.

Destructive action: Mass Delete can remove multiple Customer records. Confirm the selection before proceeding.

Customer deletion can also be restricted or produce warnings when the Customer is referenced by financial transactions such as Invoices, Estimates, or Credit Notes.

This protection is a reason to review related records before attempting deletion rather than treating Customer deletion as ordinary list cleanup.

13.14 Customer Data-Management Best Practices

  • Search before creating or importing Customers.
  • Simulate large imports before committing them.
  • Test a small import when working with a new CSV structure.
  • Verify imported data after completion.
  • Confirm the scope of every downloaded output.
  • Use bulk actions only after reviewing all selected rows.
  • Do not mass-delete Customers without reviewing related business records.
  • Use existing group structures rather than inventing new classifications during ordinary User Operations.
