12.1 Customer Relationships Extend Beyond the Profile Form

A Customer in AIUNIFY CRM can be connected to many operational records. The Customer Profile provides the context for reviewing those relationships without having to treat each record as unrelated data.

Your access to each related area is controlled by the permissions assigned to your user account.

12.2 The Customer Statement

When available to your account, the Statement area provides a Customer-focused financial statement based on the selected statement period.

Use the statement when you need a consolidated view of Customer financial activity represented by the CRM's statement workflow.

12.3 Choosing the Statement Period

The Statement area contains a period selector.

Before printing, downloading, or sending a statement, confirm that the selected period covers the dates you intend to communicate or review.

A correct date range is especially important when the Customer has a long transaction history.

12.4 Printing a Customer Statement

The Statement interface provides a Print action.

  1. Open the correct Customer.
  2. Open Statement.
  3. Select the intended statement period.
  4. Review the statement on screen.
  5. Select Print.
  6. Review the print preview before producing the final copy.

12.5 Viewing or Saving the Statement as PDF

The Statement area also provides a PDF action.

Use the PDF version when you need a portable version of the Customer statement. After generating it, verify that the Customer name, period, and displayed transactions match your intended scope.

12.6 Sending a Statement to the Customer

The Customer Statement interface includes a send-by-email workflow.

Before sending:

  • Confirm the correct Customer is open.
  • Confirm the statement period.
  • Confirm the intended recipient information.
  • Review the statement content.
  • Send only after confirming the information is appropriate for the Customer.

12.7 Reviewing Customer Invoices

When Invoice access is available, the Customer Profile can display Invoices associated with that Customer.

Use the Customer relationship to verify that an Invoice belongs to the correct account before opening, sending, editing, or recording activity against it.

12.8 Reviewing Payments

The Customer Profile can expose related Payments to users with the necessary access.

Payment records should be reviewed in relation to the applicable Customer and Invoice information so that transaction history remains consistent.

12.9 Proposals, Estimates, and Credit Notes

Customer Profiles can also provide access to related:

  • Proposals — commercial offers or proposed work.
  • Estimates — estimated charges or quoted transaction details.
  • Credit Notes — credits associated with the Customer's financial records.

Each of these record types has its own workflow covered later in this manual.

12.10 Subscriptions, Expenses, and Contracts

Where your permissions allow, the Customer relationship can also expose Subscriptions, Expenses, and Contracts.

Use the related Customer view to understand the full relationship before creating another record that may duplicate an existing Subscription, Expense, or Contract.

12.11 Projects, Tasks, and Tickets

Customer-related operational work can also include Projects, Tasks, and Support Tickets.

This connection allows authorized users to move from the Customer relationship into the work being performed for that Customer.

12.12 Related Records Are Permission-Sensitive

Being able to open a Customer does not automatically mean your account can view every transaction or related record belonging to that Customer.

AIUNIFY CRM checks access to many record types independently. A related tab may therefore be absent, limited, or read-only depending on your permissions.

12.13 Use Related Records to Avoid Duplication

Before creating a new sales, project, support, or contract record:

  1. Open the Customer.
  2. Review the appropriate related area if available.
  3. Search for an existing record that may already represent the work or transaction.
  4. Open and update the existing record when that is the correct action.
  5. Create a new record only when a separate record is actually required.

Best practice: A Customer Profile is not only an address book entry. Use it as the relationship hub for reviewing the Customer's connected CRM activity.
