3.1 Signing In to AIUNIFY CRM

AIUNIFY CRM maintains a staff authentication workflow for authorized internal users.

To sign in, open the staff login page supplied for your organization's CRM environment and enter the email address and password associated with your account.

3.2 Required Login Information

The staff authentication process validates both:

  • Email — must be entered as a valid email address.
  • Password — is required to authenticate the account.

If either required value is missing or invalid, correct the information shown by the login form and submit it again.

3.3 Inactive Accounts

An authenticated CRM session requires an active staff account. The system checks the signed-in user's staff record and can end the session when the account is no longer active.

If credentials that previously worked stop providing access and you believe your account should still be active, contact the person responsible for CRM access within your organization.

3.4 Two-Factor Authentication

AIUNIFY CRM includes a two-factor authentication verification workflow.

When two-factor authentication is required for your account:

  1. Enter your normal email and password.
  2. Continue to the two-factor verification screen.
  3. Enter the verification code requested by the system.
  4. Submit the code.
  5. Continue into the CRM after the code is accepted.

If the entered code is not valid, the system reports that the two-factor code is invalid and returns you to the verification process.

Security practice: Never share your password or two-factor verification code with another user.

3.5 Forgotten Password

If you cannot remember your password, use the staff password-recovery function instead of repeatedly guessing.

The recovery form requires the email address associated with the staff account.

3.6 Password-Recovery Workflow

  1. Open the staff login screen.
  2. Select the password-recovery option.
  3. Enter your account email address.
  4. Submit the recovery request.
  5. Check the email account associated with your CRM user.
  6. Open the password-reset instruction sent by the system.
  7. Enter a new password and repeat it in the confirmation field.
  8. Submit the new password.
  9. Return to the login screen and sign in using the new password.

3.7 Expired Reset Links

Password-reset keys are validated before a password can be changed. If the system reports that the reset key has expired, begin the password-recovery process again so that a new reset request can be generated.

3.8 Changing Your Password While Signed In

Your staff profile also contains a password-change workflow. When changing a password from your profile, the system validates the existing password before completing the change.

If the old password does not match, the CRM reports that the old password is incorrect rather than changing the account password.

3.9 Signing Out

When your CRM session is finished, use the normal Sign Out or Logout control provided in the staff interface.

Signing out is especially important when using a shared workstation or any device that other people can access.

3.10 Secure Session Practices

  • Use your own CRM account rather than sharing credentials.
  • Do not save your password on an untrusted device.
  • Keep two-factor codes private.
  • Use password recovery when necessary rather than asking another person for their credentials.
  • Sign out when leaving a shared computer.
  • Report unexpected account-access problems through your organization's support process.
