2.1 Your First AIUNIFY CRM Session

Your first session should focus on confirming that you can sign in successfully, identify the functions available to your account, review your personal profile, and understand how records are organized.

Because AIUNIFY CRM uses permission-controlled navigation, your workspace may contain only the areas required for your responsibilities.

2.2 Sign In to the Staff Workspace

Use the AIUNIFY CRM staff sign-in screen supplied by your organization. Enter the email address and password associated with your authorized CRM user account.

If two-factor authentication is enabled for your account, complete the additional verification step requested by the system before continuing.

2.3 Start at the Dashboard

After successful authentication, the CRM routes staff users into the internal workspace. The Dashboard provides the starting point for reviewing operational information relevant to the signed-in user.

Depending on your permissions and available data, the Dashboard can contain widgets, quick statistics, upcoming events, To-Do information, contract reminders, support information, and other operational summaries.

2.4 Review the Sidebar

The sidebar is the primary way to move between CRM work areas.

Review the menu items visible to you. Common operational entries can include Customers, Sales, Subscriptions, Expenses, Contracts, Projects, Tasks, Support, Leads, Estimate Requests, Knowledge Base, Media, Calendar, and Reports.

If an area is absent, do not attempt to construct a direct URL to bypass the interface. Use only the functions your account has been authorized to access.

2.5 Learn the Quick Actions

AIUNIFY CRM provides Quick Actions for frequently performed operations. The available Quick Actions depend on your access.

Confirmed operational Quick Actions include creating an Invoice, Estimate, Proposal, Credit Note, Customer, Subscription, Project, Task, Lead, Expense, Contract, Ticket, Knowledge Base Article where permitted, and Calendar Event.

The fastest way to start a common workflow is often to use its Quick Action instead of navigating through several menu levels.

2.6 Review Your Profile

Open your own user profile and verify that the personal information displayed for your account is correct.

The staff profile supports personal profile information, a profile image, email signature, language selection, and password management. The exact controls available may depend on the deployment and your account.

2.7 Understand Record Relationships Before Creating Data

Before entering live information, determine what kind of record you are working with:

  • Use a Lead for a prospect that is still being qualified.
  • Use a Customer for an established customer/company record.
  • Use a Contact for a person associated with a Customer.
  • Use a Task for specific work that needs to be completed.
  • Use a Project when multiple activities need to be coordinated as a larger body of work.
  • Use the appropriate Sales record for proposals, estimates, invoices, payments, or credits.

2.8 Search Before Creating a Duplicate

Before creating a new Customer, Contact, or Lead, search the applicable workspace for the company, person's name, email address, or other known identifying information.

Duplicate CRM records can divide notes, communications, sales activity, and history between multiple records.

2.9 Start with Complete, Accurate Information

Enter the information you know accurately rather than filling fields with guesses. Customer and Contact information may later be used in proposals, invoices, contracts, projects, email communication, and portal access.

2.10 A Recommended First-Use Workflow

  1. Sign in with your authorized CRM account.
  2. Complete two-factor verification if requested.
  3. Review the Dashboard.
  4. Review the sidebar functions available to you.
  5. Open your profile and confirm your personal information.
  6. Review Quick Actions.
  7. Search for an existing Customer or Lead before creating a test record.
  8. Open one record and review its available tabs and related information.
  9. Use only the operational functions appropriate to your assigned role.
